The Role We are seeking a highly organized, proactive Executive Assistant to support one of our senior executives. This full-time on-site position is based in our Beverly Hills corporate office and requires 3–5 years of experience providing administrative support in a fast-paced, professional environment. What This Role Will Do Manage and maintain daily calendars, prioritize appointments, and coordinate internal and external meetings for the executive and a few of the executive’s direct reports. Arrange domestic and international travel, including transportation, accommodations, and itineraries for the executive and a few of the executive’s direct reports. Confirm the executive’s daily schedules and ensure the executive is prepared with relevant context and materials. Track and submit monthly expense reports; assist with purchase orders and invoice processing for the executive and a few of the executive’s direct reports. Support day‑to‑day communications, including email and phone correspondence on behalf of the executive. Process and track vendor agreements and invoices, project budgets and schedules, and assist with project team onboarding and off‑boarding. Maintain confidentiality and discretion across all matters. Serve as liaison to internal teams and external partners, ensuring timely and professional communication. Provide administrative support for occasional personal tasks and errands as needed. Partner closely with other Executive Assistants for seamless team support and backup coverage. What This Person Will Bring 3–5+ years of Executive Assistant experience, preferably supporting entrepreneurs and/or C‑suite executives in the creative or tech industry. Proven ability to manage multiple priorities and adapt quickly to changing demands. Strong organizational and time‑management skills with acute attention to detail. Proficiency in Google Workspace (Docs, Sheets, Calendar, Gmail), Microsoft Office, and communication platforms such as Zoom, Slack, and Box. Excellent written and verbal communication skills. Experience with booking commercial as well as private travel. Ability to work independently, exercise good judgment, proactively identify areas in which to assist the executive and propose new or better approaches, systems, or processes to prioritize and complete tasks, and maintain discretion in handling sensitive information. Bachelor’s degree required.
