Shift Coordinator

About the Role:

The Shift Coordinator is responsible for assuring the quality of services provided to the persons served of assigned unit within Nova goals, mission, policy and procedures; for the coordination of the day-to-day operations of the assigned unit(s) recommending and implementing changes that would improve the delivery services to the persons served. This position plays a critical role in ensuring the smooth and efficient operation of the residential facility during assigned shifts. This position is responsible for overseeing staff activities, managing client flow, and coordinating resources to maintain high standards of care and safety. The Shift Coordinator acts as a key communication link between client teams, administration, and external partners to address any issues promptly and effectively. By proactively identifying and resolving operational challenges, the coordinator helps optimize patient outcomes and staff performance. Ultimately, this role ensures that each shift runs seamlessly, supporting Nova's mission.

Minimum Qualifications:

• High school diploma or equivalent; a degree or certification in Mental Health or related field is preferred.
• CDCA
• A minimum of 3 years supervisory experience.
• Minimum of 3 years experience in the Alcohol and other Drug Field.
• Strong organizational and multitasking abilities to manage complex workflows under pressure.
• Effective communication skills to interact professionally with diverse healthcare teams and patients.

Preferred Qualifications:

• Associate's or Bachelor's degree
• LSW or LCDC III - required
• Experience with electronic health record (EHR) systems and healthcare scheduling software.
• Certification in healthcare management or leadership (e.g., Certified Healthcare Supervisor).
• Demonstrated ability to lead teams in a fast-paced clinical environment.
• Training in conflict resolution, emergency response, or quality improvement methodologies.

Responsibilities:

• Supervise and evaluates workers' performance, and makes recommendations for personnel actions to the Chief Clinical Officer.
• Directs day-to-day operations of shift. Responsible for scheduling meetings, client direct services and workers' time.
• Responsible for quality assurance in the shifts assigned unit's of service delivery, including clinical care and documentation.
• Recommends to the Chief Clinical Officer changes that would improve service delivery and implements changes and new programming as directed by the Clinical Director.
• Responsible for the continuity of care in the provision of comprehensive services and for coordinating communication with other service components.
• Takes an active role in committees and work groups as assigned by the Performance Improvement Committee and Chief Clinical Officer
• Adheres to the agency's policies and procedures.
• Adheres to agency code of ethics and complies with the regulatory agencies including but not limited to: ADAMHS, ODBH, CARF.
• Complies with CARF.
• Responsible for providing instruction/supervision for students/interns with scope of practice and licensure as opportunities permit.
• Additional duties as assigned.
• Facilitate effective communication between multidisciplinary teams, including nursing, medical staff, and support services.
• Maintain accurate shift reports and documentation to ensure continuity of care and compliance with regulatory standards.
• Assist in training and onboarding new staff members to promote a cohesive and knowledgeable team environment.

The Shift Coordinator utilizes strong organizational skills daily to manage multiple tasks such as staff scheduling, client flow coordination, and resource allocation efficiently. Communication skills are essential for liaising between healthcare professionals, patients, and administrative personnel to ensure clarity and prompt resolution of issues. Problem-solving abilities are applied continuously to address unexpected challenges, such as staffing shortages or patient emergencies, maintaining operational stability. Leadership skills are critical in motivating and guiding staff to adhere to protocols and deliver high-quality care. Additionally, proficiency with healthcare technology systems supports accurate documentation and streamlines workflow management throughout each shift.
