Office Coordinator

A well-established local HVAC and home services company is seeking a dependable and organized Office Coordinator to join their team. This person will be the first point of contact for customers and will help coordinate the daily flow of service calls, scheduling, invoicing, and office operations. This is a great opportunity for someone who enjoys a fast-paced office environment and is comfortable balancing customer service, scheduling, phones, and light accounting responsibilities. Responsibilities Answer incoming calls and provide professional, friendly customer service Schedule and coordinate residential and commercial service appointments Communicate with customers regarding appointments, service needs, and technician schedules Coordinate daily schedules with field service technicians Enter and maintain accurate customer and service information Prepare, enter, and record invoices Use QuickBooks for invoicing and basic accounting functions Assist with accounts receivable, payments, and other light bookkeeping duties Process paperwork, data entry, filing, and general office administration Follow up with customers as needed regarding appointments, invoices, and service Help keep the office organized and ensure customers receive timely communication Perform other administrative duties as needed Qualifications Previous office, customer service, scheduling, dispatch, or administrative experience QuickBooks experience is required Strong computer and data-entry skills Excellent phone and customer service skills Strong attention to detail and organizational abilities Ability to multitask and prioritize in a busy service environment Professional, dependable, and team-oriented HVAC, plumbing, electrical, construction, or other home-service industry experience is a plus
