Office Assistant - Alumni RelationsThis student is responsible for performing a variety of administrative duties, including but not limited to filing, scanning, printing, copying, organizing and shredding. You will also assist with answering the telephones, using proper phone etiquette and a professional speaking tone. Direct calls to the appropriate staff members and take accurate messages when staff members are unavailable. Review mail and direct correspondence to the appropriate staff member. Prepare outgoing mail and packages, using correct postage and labels. Transcribe, dictate or compose correspondence as directed. Proofread documents before preparing a final version or provide drafts to supervisor for review and approval before putting it in final form.Greet guests in reception area Handle incoming calls Check voicemail and relay messages Set-up conference calls Take thorough messages Maintain stocked refrigerator and full water container Organize supply/storage rooms Shred confidential documents as directed Schedule student meetings Prepare conference room for meetings Research Filing Printing Copying Scanning Run errands Distribute mail Create documentsWork-Study On Campus In the office Fall, Spring Saturday - 8am-8pm, Sunday - 8am-8pm, Monday - 8am-8pm, Tuesday - 8am-8pm, Wednesday - 8am-8pm, Thursday - 8am-8pm, Friday - 8am-8pmExperience with Microsoft Word, Excel and PowerPoint Proper phone etiquette Excellent written and verbal communication Strong interpersonal communication skills Detail-oriented Professional behavior Must be punctual and reliable Complete times sheet with integrity (Cannot work over 20 hrs. per week) Submit timesheet by 5 PM on the due date Submit changes to work schedule a day in advance.
