We are seeking an experienced, detail-oriented Escrow Officer who thrives in a fast-paced environment and is passionate about delivering outstanding customer service while managing complex real estate transactions from opening to closing.

Position Summary

The Escrow Officer is responsible for managing residential and commercial escrow transactions from receipt of contract through successful closing. This role serves as the primary point of contact for buyers, sellers, real estate agents, lenders, and other parties involved in the transaction, ensuring compliance, accuracy, and exceptional service throughout the escrow process.

Key Responsibilities

Escrow Management

• Open, process, and close escrow transactions in accordance with company policies, DFPI regulations, and industry best practices.
• Review purchase agreements, escrow instructions, title reports, lender requirements, and supporting transaction documents.
• Prepare escrow instructions, estimated settlement statements, amendments, and closing documents.
• Coordinate with buyers, sellers, agents, lenders, title companies, attorneys, and other stakeholders to facilitate timely closings.
• Monitor contract deadlines and transaction milestones.
• Resolve title, lien, payoff, and document-related issues as they arise.
• Ensure all conditions and requirements are satisfied prior to closing.

Customer Service & Communication

• Serve as the primary contact throughout the escrow process.
• Maintain proactive communication with all parties to ensure a smooth transaction experience.
• Provide timely updates regarding transaction status and closing timelines.
• Deliver a high level of professionalism and responsiveness in all client interactions.

Compliance & Risk Management

• Ensure compliance with all state and federal regulations governing escrow transactions.
• Maintain complete and accurate escrow files and records.
• Verify receipt and disbursement of funds according to escrow instructions.
• Follow company procedures related to fraud prevention, wire verification, and risk management.
• Support internal and external audit requirements as needed.

Business Development

• Build and maintain strong relationships with real estate professionals, lenders, and industry partners.
• Participate in networking events, educational opportunities, and industry functions.
• Assist in growing and maintaining a book of escrow business through exceptional service and relationship management.

Qualifications

• Minimum 3–5 years of escrow experience in California.
• Thorough understanding of California escrow procedures and real estate transactions.
• Experience handling residential resale, refinance, investor, and commercial transactions preferred.
• Strong knowledge of DFPI escrow regulations and compliance requirements.
• Exceptional organizational and time-management skills.
• Excellent verbal and written communication skills.
• Ability to manage multiple transactions simultaneously while maintaining accuracy.
• Strong problem-solving and critical-thinking abilities.
• Proficiency with escrow software platforms, Microsoft Office, and digital transaction management systems.
• Existing relationships within the Southern California real estate community are highly desirable.

Preferred Qualifications

• Active California Escrow Officer experience with an independent escrow company.
• Established book of business and referral network.
• Experience with Qualia or similar escrow management platforms.
