Special Accounts Assistant Manager

POSITION SUMMARY:

The primary purpose of this position is to provide quality service to the credit union members and support branch and contact center staff. The Special Accounts Servicing Assistant Manager will serve as a liaison between the members, staff and the credit union for products and services related to IRA’s, Trusts, Power of Attorneys, conservatorships, estates, and deceased account processing. This includes but are not limited to: Plan administration of IRA accounts, administering distributions, tax reporting, processing transactions on IRA accounts and supervising the Special Accounts Servicing team.

ESSENTIAL FUNCTIONS AND SUPPORTING DUTIES:

• Administer IRA program, which includes opening/closing IRA accounts, handling incoming and outgoing transfers and rollovers, monitors all transactions processed on IRA accounts for accuracy and complete documentation and makes corrections to IRA accounts, when necessary, and notifies the member of changes made.
• Responsible for all IRA Plan Maintenance, conduct research, review and maintain documentation for all IRA accounts
• Verify IRA Federal and State withholding reports daily.
• Create spreadsheets to monitor normal and mandatory periodic distributions from IRA accounts.
• Responsible for verifying, balancing, reporting, correcting, and filing of IRA documents such as 1099R, 1099Q, 5498, 5498 ESA and 1096.
• Responsible for verifying and reporting all Fair Market Value Information to members and to the IRS.
• Assist Learning & Experience with training and guidance to IRA Specialists and MSRs to ensure success with implementing IRA policies and procedures.
• Assist members and staff regarding all aspects of Deceased accounts, Power of Attorneys, and Trusts, Estates, and Conservatorships.
• Responsible for coaching, mentoring, and evaluating Special Accounts Servicing Representatives I and II.
• Process special projects and assignments as directed within established deadlines.
• Collaborate with 3rd party IRA vendor regarding compliance, regulations, changes, forms, amendments, IRA Service center, IRAdirect and Integration to our system core to make sure the credit union is following current and new regulations.

QUALIFICATIONS AND REQUIREMENTS:

Required Education: Associate degree or equivalent from two-year college or technical school preferred. Completion of specialized courses/certifications in the subject of taxation, Federal and State laws and regulations regarding IRA accounts.

Required Experience: 3-5 years’ experience in a financial institution environment with at least 2 years’ experience as a Member Service Representative or equivalent education and/or work experience.

Preferred Experience: Some supervisory, coaching, mentoring experience.

Required Knowledge: Thorough knowledge of Credit Union products and services.

• Extensive knowledge of Credit Union policies, procedures and processes.
• Awareness of Credit Union vision and long-term goals.
• Thorough knowledge of insurance policies and claiming procedures.
• Extensive knowledge of Federal and State government regulations and codes concerning IRA accounts, taxation, processes of dispersing funds, Power of Attorneys, Trusts, Estates, Conservatorships and Deceased account processing.

• Must be able to handle high volume of external and internal phone calls.
• Proficiency with Microsoft Suite including but not limited to Word, Excel, and Outlook.
• Excellent organizational skills; documentation formatting, strong attention to detail and accuracy.
• Exceptional written communication skill: including dictation, spelling, and grammar accuracy.
• Excellent oral communication skills: communicate clearly in all situations and conduct business over the telephone.
• Exhibit strong member service and problem-solving skills.
• Ability to work independently, using personal judgment and problem-solving techniques to complete tasks in a timely fashion.
• Ability to work within a team, other CU departments, and external business partners.
