Payroll Specialist

The Payroll Specialist is responsible for supporting the accurate and timely processing of payroll and payroll-related functions for employees and providers. This role serves as a primary payroll contact for employees, maintains payroll records, performs reconciliations, and ensures compliance with applicable payroll laws and company policies.

Duties and Responsibilities

Payroll Processing & Administration

• Process bi-weekly payroll accurately and on schedule through the HRIS/payroll system.

• Review and enter payroll-related changes including new hires, terminations, pay changes, garnishments, and direct deposit updates.

• Audit payroll data prior to processing to ensure accuracy and compliance with company policies and payroll regulations.

• Assist with payroll reconciliations including taxes, garnishments, earnings, and other payroll-related items.

• Respond to employee payroll inquiries and resolve discrepancies in a professional and timely manner.

• Maintain accurate payroll records and documentation in accordance with company retention requirements.

• Support off-cycle payrolls, adjustments, retroactive payments, and manual checks as needed.

• Coordinate with HR to ensure employee data changes are accurately reflected in payroll systems.

Compliance & Reporting

• Support payroll tax processing, reconciliation, and reporting activities, including quarterly and year-end processes.

• Assist with preparation and reconciliation of payroll reports, general ledger reports, and audit documentation.

• Maintain knowledge of federal, state, and local payroll regulations and wage and hour requirements.

• Support internal and external audits by providing requested payroll documentation and reports.

• Ensure confidentiality and security of employee payroll and compensation information.

Process Improvement & Collaboration

• Identify payroll process improvement opportunities to increase accuracy and efficiency.

• Partner with HR, Finance, and vendors to support payroll operations and issue resolution.

• Assist with payroll system testing, implementations, upgrades, and process documentation as needed.

• Support department initiatives and special projects related to payroll and compliance.
