Administrative Assistant
LMG Systems Innovation (LMGSI) is seeking an Administrative Assistant to support the daily operations of our Install and Service Department. This role is essential to maintaining organization, communication, and efficiency across service coordination, scheduling, purchasing, and administrative processes.
As part of Entertainment Technology Partners, LMGSI supports audiovisual system installations and services across universities, government facilities, corporate environments, and entertainment venues nationwide. This position plays a key role in ensuring our teams operate smoothly and deliver high quality service to clients.
What You'll Be Doing
- Receive and route incoming calls and emails for new service requests, including warranty and non warranty support
- Schedule recurring maintenance and coordinate daily service and installation activities
- Assist with ordering materials and equipment for service calls and maintenance contracts
- Prepare service estimates, daily logs, timekeeping records, and departmental reports
- Enter and maintain accurate data across CRM, ERP, SharePoint, and other systems
- Coordinate RMAs and manage equipment returns between clients and vendors
- Work cross functionally with Accounts Payable, Purchasing, and other departments
- Generate purchase orders for labor, vendors, and customer billing
- Support additional administrative tasks and projects as needed
What We're Looking For
- High school diploma or equivalent
- Minimum of 3 years of experience in an administrative or fast paced office environment
- Strong organizational skills and attention to detail
- Excellent written and verbal communication skills
- Ability to manage multiple priorities and meet deadlines
- Experience supporting service based operations or technical teams is preferred
- Proficiency with business systems such as CRM, ERP, and Microsoft Office tools
