Clerical - Office Manager

Overview As a Clerical – Office Manager at a well‑established clinical setting, you will be the driving force behind efficient clinic operations, staff management, and excellent customer service. Responsibilities Oversee the daily operations of the clinic, ensuring efficient workflow and exceptional service delivery to patients, physicians, and staff. Supervise, hire, onboard, evaluate, and mentor clinic staff, fostering a collaborative team environment. Coordinate staff schedules and assign responsibilities to optimize clinic productivity and staff satisfaction. Manage clinic budgets, monitor expenses, and ensure financial targets are met. Facilitate communication between internal teams and external partners, addressing inquiries, complaints, and incident reports promptly. Uphold strict confidentiality and compliance with HIPAA, privacy laws, and organizational policies regarding protected health information (PHI) and personally identifiable information (PII). Ensure clinic facilities and equipment meet safety, operational, and regulatory standards through routine inspections and maintenance. Oversee inventory control, ordering supplies as needed, and maintain proper documentation. Conduct routine safety and compliance audits to promote a safe environment for staff and patients. Manage front office functions including appointment scheduling, patient check‑in and check‑out, and appointment confirmations. Assist with data entry, reviewing clinical documentation for accuracy, grammar, and completeness. Document and elevate abnormal exam findings or test results following established workflows. Maintain cleanliness and hygiene of the clinic environment, ensuring exam rooms and common areas are tidy and disinfected. Generate and review performance reports, tracking clinic metrics to ensure operational goals and compliance standards are achieved. Support ongoing staff training, certification renewal, and professional development initiatives. Participate in special projects and clinic improvement initiatives as directed. Travel up to 15% may be required for multi‑site clinic management and meetings. Required Skills Proven leadership and team management skills, with the ability to prioritize tasks and delegate effectively. Excellent verbal and written communication abilities tailored to diverse audiences including staff, providers, and patients. Strong organizational skills and attention to detail, with the capacity to manage multiple responsibilities simultaneously. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with healthcare data management systems. Basic knowledge of medical terminology and healthcare operations. Ability to analyze data, prepare reports, and use metrics to inform decision‑making. Ability to maintain confidentiality and exercise discretion in handling sensitive information. Customer service orientation with a proactive approach to problem‑solving. Nice to Have Skills Experience supervising or managing teams within a clinical or medical office environment. Prior exposure to healthcare administrative software or electronic health record (EHR) systems. Knowledge of OSHA, HIPAA, and other healthcare compliance standards. Certification such as Medical Office Management, Medical Assistant, LPN, or similar credentials. Bilingual language skills are a plus. Preferred Education and Experience Bachelor’s degree in Healthcare Administration, Business, or a related field. Minimum of 5 years’ experience in healthcare administration, with at least 2 years in a supervisory role. Experience working in occupational medicine, general medicine, or internal medicine clinics. Prior budget management and staff development experience preferred. Certification and licensing as required by state or federal regulations, including BLS certification. Other Requirements Schedule: Monday through Friday, 8:00 am – 5:00 pm, with occasional overtime as needed. Ability to travel up to 15% to support multiple clinic locations or attend meetings. Must possess a valid driver’s license and be able to pass background checks, including NACI and government clearance requirements. Willingness to complete annual respiratory fit testing and the proper use of respiratory PPE when required. Physical ability to perform typical office and clinical environment duties, including sitting, standing, and light lifting.
