Accounting Associate

The Accounting Associate / Accounts Payable Specialist is responsible for supporting daily accounting and accounts payable operations across multiple business functions. This role focuses on invoice processing, vendor payments, reconciliations, expense reporting, and maintaining accurate financial records within the company’s ERP and financial systems. This position will work closely with Accounting, Administration, Fulfillment, and Operations teams to ensure timely transaction processing, accurate reporting, and strong vendor support. The role is designed to be cross trained across multiple accounting functions and support ongoing process improvements and ERP initiatives. Accounts Payable & Payment Processing Process and post accounts payable batches for multiple business units Prepare and distribute vendor payment remittances Process vendor credit memos and payment adjustments as needed Review invoices and update payment terms when required Assist with payment processing activities and reconciliation of related transactions within the ERP system Support vendor banking and ACH payment verification processes Coordinate with vendors regarding payment status and remittance details Invoice & Transaction Processing Post vendor invoices and manual invoice entries as requested Process credits, adjustments, and other accounting transactions Review supporting documentation for invoice accuracy and completeness Post inventory related adjustments provided by Operations or warehouse teams Review and resolve unapplied credits and payment discrepancies Assist with received not invoiced reporting and follow up items Expense Reporting & Reconciliations Review and monitor corporate card reconciliations and supporting documentation Assist with employee expense report review and processing within the company’s expense management platform Support posting and reconciliation of expense related transactions Maintain prepaid expense tracking schedules and supporting documentation Assist with monthly account reconciliations and supporting schedules Reporting & KPI Support Support preparation of monthly Accounting KPI reporting Review open invoice activity and outstanding payment items Assist with vendor statement reconciliations and year end confirmations Maintain organized documentation and support audit requests as needed Process Improvement & Cross Training Participate in cross training across accounting and AP functions Follow and help maintain Standard Operating Procedures (SOPs) Identify opportunities to improve efficiency, accuracy, and workflow processes Assist with accounting process improvements and ERP initiatives Qualifications Bachelor’s degree in Accounting, Finance, or related field preferred 2+ years of accounting or accounts payable experience preferred Strong attention to detail and organizational skills Ability to manage multiple priorities and meet deadlines Proficient Excel skills, including filtering, sorting, formulas, and reconciliations Experience with ERP systems such as Microsoft Great Plains, Microsoft Dynamics 365 Business Central, SAP, Oracle, or NetSuite preferred Strong communication and follow up skills Ability to work independently and collaboratively within a team environment Preferred Skills Experience with expense management systems Experience working with vendor reconciliations and payment processing Familiarity with ACH processing and payment workflows Understanding of month end close support activities Experience with reconciliations, financial documentation, and maintaining organized records and schedules #J-18808-Ljbffr Neta Scientifi
