Job Summary:
Responsible for sourcing and procuring materials and services for production based on job-specific demand. This role requires cost-conscious decision-making, timely vendor communication, accurate purchase order management, and detailed documentation. Buyers play a critical role in ensuring materials are delivered on time and to specification to support production operations.
Required Education and Experience
- High school diploma or GED required
- Five (5) to nine (9) years of experience in purchasing or procurement
- Experience in a manufacturing or industrial environment a must
- Familiarity with structural steel, pipe, plate, or similar materials a plus
- Experience working with vendor management and quote documentation
Key Responsibilities:
- Source and procure materials and services based on job-specific requirements from internal departments
- Send RFQs to a minimum of three vendors and evaluate quotes based on price, lead time, and delivery reliability
- Extensive knowledge of negotiating pricing and terms with vendors to achieve best value for the company
- Generate job-specific Purchase Orders (POs) in Sage50, ensuring all required information is included (job number, quantity, grade, size, delivery location, GL number, due date)
- Email POs to vendors and copy Receiving and Project Management on all orders
- Confirm vendor receipt and acknowledgment of all POs and save confirmation documentation
- Track and expedite all open orders, following up prior to due dates
- Communicate delivery delays or discrepancies to vendors, Project Management, Receiving, and the Purchasing Manager as appropriate
- May perform assigned contract administration duties
- Coordinate resolution of receiving issues including damaged goods, incorrect materials, or returns
- May lead, guide and train Level I employees
- Ensure all receiving documentation (MTRs, COCs, BOLs) is provided by vendors
- Maintain vendor folders, quote history, and updated information in the Vendor Master Sheet
- Log and update pricing data in the Current Price Sheet on a weekly basis
- Complete structural material takeoffs and nesting using project drawings when applicable
- Read and interpret engineering drawings and blueprints to understand material and project requirements
- Perform manual material takeoffs from project drawings to determine quantities and specifications
- Enter structural materials (EJE) into the Access Database
- Assist Supervisor/Manager to determine proper procurement process and clarify and revise specifications, as needed to allow for competitive bidding
