The intake specialist serves as the first point of contact for potential and returning clients and is responsible for managing the entire intake process. Job Duties Serve as the first point of contact for prospective and existing clients. Respond promptly to client inquiries by phone and email. Conduct intake interviews and gather information related to estate planning, trust administration, probate, guardianship, and conservatorship matters. Create detailed intake notes for attorney review. Enter and maintain accurate client records within the Clio case management system. Perform conflict checks and create organized electronic client files. Schedule consultations and coordinate attorney calendars, conference rooms, and appointment confirmations. Send intake forms, questionnaires, and consultation information to clients. Monitor pending client matters and communicate updates with attorneys. Maintain strict confidentiality of sensitive client and case information. Provide front desk and reception support during lunch coverage and as needed Education Requirements High school diploma, GED, or equivalent required. Additional administrative, legal, or customer service training is a plus. Spanish-speaking ability is preferred but not required. Experience Requirements Minimum of 3 years of customer-facing phone, intake, call center, receptionist, or client service experience required. Previous experience in a professional environment requiring confidentiality and discretion. Legal office, law firm, estate planning, probate, or administrative experience preferred. Strong customer service and relationship-building skills. Excellent verbal and written communication abilities. Strong computer, data entry, and typing skills. High attention to detail with excellent organizational and multitasking abilities. Ability to pass a criminal background check. Physical Capabilities Ability to sit and work at a computer for extended periods. Ability to communicate effectively by phone, email, and in person. Ability to manage multiple tasks and priorities in a fast-paced office environment. Ability to provide front desk coverage as needed.
