HERFF JONES, Data Formatting Specialist - Indianapolis, IN

Your Opportunity:

The Herff Jones Customer Service team is looking for a Data Formatting Specialist to join our team in Indianapolis, IN.

Position Summary:

The Data Entry Clerk is an important part of the team supporting high schools, colleges and other educational institutions (our customers). As a member of the Data Entry Team, you will be responsible for daily review of orders from customers and Herff Jones Independent Sales Partners (ISPs); these orders are delivered through our web-based portal. Preparing orders with accurate information to prevent changes is a critically-important function of this role, so attention to detail is crucial. Data entry is the first step of many in ensuring high-quality products go timely from our manufacturing environment to our customers.

This position requires a critical thinker with strong basic math skills. Accuracy, attention to order detail, and the ability to type efficiently are all expectations of the role to enable the manufacturing plant to work efficiently and serve our customers.

• Regular hours: 8:00 am to 5:00 pm (Monday - Friday)
• Peak Season hours: Up to 12 hours a day & half a day on Saturdys (March to May)

What we want you to accomplish:

• Review daily orders and prioritize the order entry process
• Gather and input student information into our manufacturing software, Oracle
• Verify and double check each order for order accuracy and completion of other numerical details
• Rate of accuracy at 95% or better after 2 weeks of training with full trainer audit
• Rate of accuracy at 99%+ after 4 weeks in the role
• Compare order details provided with the prepared package content before the product ships to our customer

Success Indicators and Skills:

• Ability to operate a personal computer in a Windows environment.
• Familiarity with applications such as Microsoft Outlook, Word, and Chrome browser
• Intermediate to advanced MS Excel skills are REQUIRED for this role.
• Previous experience working with an ERP system such as Oracle is preferred.
• Exceptional attention to detail and the ability to notice errors and discrepancies.
• Ability to locate physical and digital files; familiarity with filing skills.
• Strong math skills with the ability to work a calculator.
• Demonstrated success managing multiple processes and tasks at a time with strong organizational and detail skill
• A positive attitude with a focus on learning the complete product cycle to better service the customer (schools and administrators) and Independent Sales Partners
• Education / Certifications Required:
• High School Degree or GED or honorable military service

• Reading, lifting, carrying, sitting, keyboarding, grasping, reaching
• Use of a step ladder to retrieve customer files as needed
• Being able to sit for long periods of time
• Ability to work alone in a quiet environment
