Executive Assistant to VP of Strategy & Operations

Our client is looking for a polished, highly capable Executive Assistant to provide primary support to their Strategy Team with backup coverage for CEO during travel, high-volume periods, or absences. This is an exceptional opportunity for someone who thrives in a fast-paced, institutional environment and can move seamlessly between day-to-day operational support and high-stakes executive coverage. You'll be a critical partner in keeping our leadership team organized, on schedule, and ahead of the curve — with the composure to handle complex logistics and the judgment to manage sensitive priorities with discretion. A candidate who is unflappable under pressure, meticulous with details, and comfortable in a client facing role.

• $120-150 with bonus

Responsibilities:

• Manage a complex schedule of meetings, calls, and travel across multiple time zones
• Proactively coordinate and confirm appointments
• Build strong relationships with clients to facilitate seamless scheduling
• Stay flexible and prioritize competing demands with sound judgment
• Ensure timely, accurate submission of expense reports
• Assist in the creation of PowerPoint decks and client presentations
• Track and manage client priorities
• Elite Travel Logistics: Coordinate complex domestic and international travel, including commercial and private aviation (FBO protocols)
• Detailed Itineraries: Produce precise, minute-by-minute itineraries covering ground transport, time zone changes, and international visa requirements

Required Qualifications:

• Experience: 3+ years of administrative experience, including supporting both operational leaders and C-suite executives — private equity or another fast-paced corporate environment preferred
• Technical Mastery: Advanced proficiency in Outlook Calendar, Microsoft 365, Microsoft Teams, and travel or project management tools
• Adaptability: Exceptional agility to shift instantly between operational tracking and urgent executive crisis management
• Communication: Polished written and verbal communication skills, with the presence to interface confidently with institutional investors and portfolio executives
