Position Details Title : Case Administrator Location : Washington, DC (hybrid 3x week) Target Start Date : ASAP Type : contract Pay Rate : DOE We are seeking a highly organized and detail-oriented Case Administrator to support legal and administrative proceedings in a fast-paced, professional environment. This role partners closely with attorneys, hearing officers, and other stakeholders to coordinate case administration, manage case documentation, monitor deadlines, and ensure proceedings are conducted efficiently and in accordance with established procedures. The ideal candidate has a strong administrative or paralegal background, excellent organizational skills, and the ability to manage multiple complex cases while maintaining accuracy, professionalism, and confidentiality. Key Responsibilities Manage an assigned caseload, maintaining complete and accurate electronic case files and official records. Track case milestones and deadlines, ensuring timely completion of required actions and documentation. Coordinate with attorneys, hearing officers, and other stakeholders regarding scheduling, procedural matters, and case status. Prepare, organize, and distribute legal and administrative documents, including notices, orders, correspondence, and decisions. Review pleadings and other case submissions for completeness, formatting, and procedural compliance. Proofread, edit, and perform cite-checks on legal documents to ensure accuracy and consistency. Verify information using case records and supporting documentation. Assist during hearings, conferences, or other proceedings by coordinating logistics, managing exhibits, and supporting evidence administration. Anticipate and resolve procedural or administrative issues that arise throughout the case lifecycle. Compile reports, case metrics, and statistical information as requested. Support departmental initiatives and special projects to improve operational efficiency. Required Qualifications Bachelor's degree required. Paralegal certificate or equivalent legal administrative experience preferred. Experience supporting litigation, legal operations, regulatory proceedings, or other formal case management environments preferred. Strong organizational skills with the ability to prioritize multiple cases and deadlines simultaneously. Excellent written, verbal, proofreading, and document review skills. Strong research and analytical abilities with exceptional attention to detail. Experience working with legal research tools, document management systems, or electronic case management platforms is preferred. Proficiency with Microsoft Office, including Word, Excel, Outlook, and Teams. Ability to maintain confidentiality and exercise sound professional judgment. Strong interpersonal skills with the ability to communicate effectively with attorneys, business partners, and external stakeholders. Preferred Qualifications Experience in legal, regulatory, compliance, government, or administrative hearing environments. Familiarity with legal citation formats and document review processes. Knowledge of legal procedures, administrative proceedings, or regulatory frameworks. Experience coordinating hearings, depositions, or other legal proceedings. Work Environment Hybrid or onsite work environment, depending on business needs. Occasional travel may be required to support hearings or other proceedings. Flexibility to work extended hours during periods of increased case activity.
