Role Description The Patient Care Coordinator is a full-time, hybrid role based in Los Angeles, CA, with a mix of on-site work at the clinic and some work-from-home flexibility. This role is responsible for delivering a high-touch, patient-centered experience from the first point of contact through follow-up care. The Patient Care Coordinator will serve as a key liaison between patients, families, and providers, ensuring that communication is timely, clear, respectful, and reassuring. Daily responsibilities include warmly welcoming patients, managing check-in and check-out, scheduling and confirming appointments, answering phone calls, responding to patient inquiries, and providing billing details for the visits. The role also includes proactively coordinating follow-up visits, referrals, imaging, diagnostic testing, prescription refill requests, insurance information, and outside medical records. The ideal candidate will help patients navigate their care with confidence by anticipating needs, providing clear next steps, and ensuring that no detail is overlooked. This position requires a strong service mindset, excellent communication skills, emotional intelligence, and the ability to create a calm and supportive experience for patients with neurological conditions and their families. The Patient Care Coordinator will work closely with the neurologist to support efficient clinic operations while maintaining a warm, professional, and highly responsive patient experience. Qualifications Strong appointment scheduling skills, including managing calendars, confirming visits, coordinating follow-ups, and handling rescheduling or cancellations with professionalism and care. Excellent phone etiquette and patient communication skills, with the ability to provide calm, empathetic, and polished support during a high volume of calls and messages. Experience providing concierge, hospitality-focused, or high-touch patient service, with an emphasis on responsiveness, discretion, and personalized follow-through. Strong care coordination skills, including organizing referrals, imaging, diagnostic testing, outside records, prescription refill requests, and communication between patients and providers. Working knowledge of medical terminology, with the ability to accurately relay information, document updates, and support communication within the care team. Demonstrated commitment to exceptional patient care, especially for individuals with neurological conditions and their families who may require additional reassurance, patience, and guidance. Prior experience in a medical office, specialty clinic, neurology practice, concierge medical practice, or patient-facing healthcare setting preferred. Proficiency with electronic health record systems, patient portals, phone systems, and basic office software. Excellent organizational skills, attention to detail, and ability to manage multiple priorities in a fast-paced clinical environment. High level of professionalism, confidentiality, emotional intelligence, and reliability. Bachelor’s degree required, preferably in healthcare administration, biology, psychology, public health, communications, hospitality, business administration, or a related field. Additional coursework, certification, or training in medical administration, healthcare coordination, patient advocacy, hospitality, or a related field is a plus.
