Medical Assistant
The Medical Assistant provides comprehensive clinical and administrative support in a busy multispecialty orthopedics and pain management practice. This role supports healthcare providers in the exam room, manages patient flow through the clinic, and ensures accurate documentation and coordination of care. The Medical Assistant measures vital signs, records medical and medication histories in the EMR, prepares exam rooms, assists with minor procedures, coordinates scheduling and authorizations, and supports patients and providers with professionalism and compassion in a fast-paced environment.
Responsibilities:
- Obtain and document patients' medical and medication histories accurately in the electronic medical record (EMR).
- Measure, obtain, and record patients' vital signs, ensuring accuracy and completeness.
- Prepare patients and exam rooms for examinations, treatments, and minor procedures.
- Assist physicians and physician assistants during examinations, treatments, and minor procedures.
- Administer injections safely and accurately, including correctly withdrawing medications to be administered.
- Operate and demonstrate the use of medical equipment related to spinal cord stimulators and intrathecal pump programmers as directed by providers.
- Function as an integral member of a multidisciplinary team and contribute to a comprehensive plan of care to meet patients' ongoing needs.
- Apply basic knowledge of human anatomy and physiology as it relates to the practice of pain management in daily clinical duties.
- Perform administrative tasks such as typing, scheduling appointments, and maintaining medical records.
- Support front desk operations, including checking in patients and assisting with patient service needs.
- Schedule procedures and appointments, following established scheduling protocols.
- Obtain insurance authorizations for upcoming cases and procedures, ensuring all required information is complete and accurate.
- Communicate effectively with hospitals, surgery centers, pharmacies, laboratories, and other external partners.
- Handle a high volume of phone calls with strong phone etiquette and clear communication.
- Utilize ICD-10 and CPT coding appropriately for documentation and billing-related tasks.
- Fill prescription requests in coordination with providers and in accordance with clinic policies.
- Maintain professionalism at all times and protect patient privacy in compliance with HIPAA and medical office policies.
- Manage time effectively to support punctual and consistent attendance and to meet clinic workflow demands.
- Apply critical thinking skills to make appropriate decisions in a fast-paced clinical environment.
- Maintain cleanliness of exam rooms and clinical equipment according to infection control standards.
- Restock supplies, monitor inventory levels, and communicate supply needs to ensure exam rooms and clinical areas remain fully stocked.
- Provide excellent communication and interpersonal support to patients of all ages and diverse backgrounds, addressing questions and concerns with empathy and clarity.
- Collaborate closely with providers, nurses, and other staff to ensure efficient patient flow and a positive patient experience.
- Use EMR and computer systems efficiently for documentation, scheduling, and communication tasks.
Essential Skills:
- Certified Medical Assistant with Medical Assistant Certificate required.
- At least 3 years of back office experience in orthopedics, pain management, or urgent care.
- At least 1 year of experience as a Medical Assistant in a healthcare setting.
- Certification in Basic Life Support (BLS) and/or CPR.
- Proficiency with electronic medical records (EMR) systems.
- Familiarity with ICD-10 and CPT coding.
- Knowledge of medical terminology.
- Basic knowledge of human anatomy and physiology, particularly as it relates to pain management.
- Ability to administer injections and accurately withdraw medications.
- Ability to use medical equipment related to spinal cord stimulators and intrathecal pump programmers, with training.
- Strong computer skills for documentation, scheduling, and communication.
- Strong phone etiquette and ability to manage heavy phone volume.
- Excellent communication and interpersonal skills with patients, providers, pharmacies, and labs.
- Strong organizational skills and ability to multitask in a fast-paced environment.
- Ability to work well under pressure while maintaining accuracy and attention to detail.
- Comfort working with patients of all ages and diverse backgrounds.
- Familiarity with HIPAA regulations and medical office policies.
- Ability to stand and walk for extended periods and lift up to 25 pounds.
- Punctuality, consistent attendance, and strong time management skills.
- Ability to think critically and make appropriate decisions in clinical situations.
- Ability to function effectively as part of a multidisciplinary team.
Additional Skills & Qualifications:
- Back office clinical experience in orthopedics, pain management, internal medicine, or urgent care.
- Experience in rooming patients and taking vitals.
- Experience in urgent care or internal medicine settings.
- Experience performing EKGs.
- Bilingual in Spanish required; bilingual in Spanish, Korean, or another common local language is considered a plus in some contexts.
- Experience with insurance authorization processes for procedures and surgeries.
- Experience communicating with hospitals, surgery centers, and other external facilities.
- Experience in patient service roles and front desk operations.
- Detail-oriented approach to documentation and clinical tasks.
- Ability to fill prescription requests accurately under provider direction.
- Strong collaboration skills and a team-oriented mindset.
- Comfort using educational and professional development resources such as online learning platforms.
Work Environment:
This role is based in a multispecialty orthopedics and pain management practice that supports a variety of providers and academic partnerships. The practice operates Monday through Friday from 8:00 a.m. to 5:00 p.m., offering a consistent daytime schedule. The environment is fast-paced and patient-focused, with nine providers and active involvement in training and supporting staff and learners from multiple medical and physician assistant programs. The culture is very family-oriented, tight knit, and welcoming, encouraging collaboration and mutual support among team members. Medical Assistants work closely with physicians, physician assistants, and other clinical and administrative staff, using EMR systems, standard clinical equipment, and specialized devices such as spinal cord stimulators and intrathecal pump programmers. The role involves extended periods of standing and walking, frequent patient interaction, and coordination with hospitals, surgery centers, pharmacies, and laboratories. Pay and Benefits:
The pay range for this position is $21.00 - $21.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
