Position Summary

The Technical Project Coordinator – Electrical provides technical and project coordination support for HEI’s Electrical Department throughout the project lifecycle, from initial project setup through final closeout. This position serves as a key connection between Project Managers, field personnel, accounting, vendors, subcontractors, and customers to help ensure projects are properly planned, documented, supplied, and executed.

This role requires a strong electrical field background and the ability to apply practical construction knowledge to project coordination. The Technical Project Coordinator will assist with reviewing drawings and specifications, coordinating materials and equipment, identifying potential field or constructability issues, tracking project requirements, and supporting Project Managers and field leadership in the successful completion of electrical projects.

Key Responsibilities

Technical & Field Coordination

• Review electrical drawings, specifications, scopes of work, schedules, and other project documents to understand project requirements and identify potential issues.
• Provide technical support to Project Managers, Foremen, and field personnel regarding electrical installations, materials, equipment, and project requirements.
• Assist in identifying constructability concerns, conflicts, missing information, and potential changes before they impact field production.
• Coordinate with Project Managers and field leadership to address technical questions and resolve project issues.
• Assist with planning material, equipment, manpower, inspection, and scheduling needs based on project requirements.
• Maintain communication between the office and field to ensure current project information and expectations are clearly understood.

Project Documentation

• Maintain project drawings, specifications, submittals, RFIs, change documentation, meeting minutes, and digital project files.
• Review and track electrical submittals, RFIs, drawing revisions, approvals, and outstanding technical items.
• Ensure current drawings, specifications, and project information are distributed to the appropriate office and field personnel.
• Assist with documenting field conditions, scope changes, additional work, and other items that may impact project cost or schedule.

Project Setup & Coordination

• Assist with project setup in company accounting and project management systems.
• Review project budgets, cost codes, schedules, billing requirements, contacts, scopes of work, and contract documents.
• Coordinate project meetings, inspections, site access, schedules, and outstanding action items.
• Monitor project requirements and communicate potential schedule, material, technical, or documentation concerns to the Project Manager.
• Assist Project Managers with maintaining project organization and following up on outstanding items.

Material & Equipment Procurement

• Review project drawings, specifications, and material requirements to assist with electrical material and equipment procurement.
• Request and compare vendor quotes for pricing, availability, lead times, freight, and compliance with project specifications.
• Assist in reviewing electrical equipment and material selections for compatibility with project requirements.
• Prepare and track purchase orders, material orders, equipment, and delivery schedules.
• Identify long-lead materials and equipment and communicate potential impacts to the Project Manager.
• Coordinate deliveries with vendors, warehouse personnel, Project Managers, Foremen, and field supervisors.
• Assist with resolving damaged, missing, backordered, incorrect, or non-compliant materials.

Job Cost, Change & Billing Support

• Assist Project Managers with tracking purchase orders, invoices, committed costs, subcontractor billing, and cost-code allocation.
• Help identify and document work that may fall outside the original project scope.
• Assist with pricing, documentation, and tracking of change orders and potential change-order work.
• Support progress billing, schedules of values, stored-material documentation, lien waivers, and other project billing requirements.
• Coordinate with accounting and Project Managers to resolve billing, coding, retainage, and documentation issues.

Vendor & Subcontractor Coordination

• Communicate technical and project requirements, schedules, document deadlines, and delivery expectations to vendors and subcontractors.
• Coordinate with electrical suppliers and manufacturers regarding product information, substitutions, availability, and technical requirements.
• Track subcontractor agreements, insurance, licenses, invoices, change requests, and compliance documentation.
• Maintain accurate records of significant project communications, decisions, and commitments.

Project Closeout

• Coordinate and organize as-built drawings, warranties, operation and maintenance manuals, inspection reports, test results, and required compliance documentation.
• Work with field personnel to ensure as-built information accurately reflects completed electrical installations.
• Track punch-list completion, final inspections, outstanding documentation, retainage requirements, and customer acceptance.
• Assist with resolving technical or documentation issues required for final project completion.
• Ensure completed project files are accurate, organized, and properly archived.

Qualifications & Experience

• EE98J Journeyman Electrician license required.
• 10+ years of electrical field experience preferred.
• Extensive working knowledge of commercial and/or industrial electrical construction methods, materials, equipment, and installation practices.
• Strong ability to read and interpret electrical drawings, specifications, one-line diagrams, schedules, submittals, and technical product information.
• Understanding of electrical codes, project requirements, and accepted industry practices.
• Knowledge of construction project workflows, procurement, job costing, change management, billing, and project closeout procedures.
• Experience working with Project Managers, Foremen, General Contractors, inspectors, vendors, and other construction professionals.
• Proficiency with Microsoft Office, PDF markup software, and construction accounting/project management systems.
• Strong organizational, communication, problem-solving, and time-management skills.
• Ability to manage multiple projects, priorities, deadlines, and technical issues simultaneously.
• Ability to effectively communicate technical information to both field and office personnel.

Ideal Candidate

The ideal candidate is an experienced electrical professional who understands how projects are built in the field and is ready to apply that experience in a project coordination role. This individual should be comfortable reviewing plans, identifying potential problems, coordinating materials and technical requirements, communicating with field crews and Project Managers, and helping keep projects organized and moving forward.

The successful candidate will combine hands-on electrical knowledge with strong organization, communication, and problem-solving skills and will serve as a technical resource for HEI’s Electrical Project Management team.
