Front Desk Receptionist

Rockford Wellness is looking for an outgoing, organized, and dependable Front Desk Coordinator who loves working with people and can keep things moving in a busy, patient-centered environment.

As the first person many of our patients speak with and the first face they see when they arrive, you play an important role in how people experience our practice. We want every patient to feel genuinely welcomed, recognized, and cared for—not like they are simply checking in for an appointment.

This is a fast-moving position for someone who can be warm and personable while also staying organized and in control of the front desk. You'll answer phones and messages, greet and check patients in and out, manage scheduling and paperwork, collect payments, route questions to the appropriate team member, and help keep communication between our patients and team running smoothly.

What You'll Be Responsible For

• Creating a warm and professional experience for every patient who calls or walks through our doors
• Answering incoming calls and responding to texts, emails, and other patient communications promptly
• Scheduling appointments and helping patients navigate scheduling questions
• Checking patients in and out efficiently
• Making sure new-patient paperwork and required forms are complete
• Collecting payments and accurately recording transactions
• Directing patient questions, messages, calls, and visitors to the appropriate team member
• Managing the flow of patients through the reception and waiting areas
• Protecting patient privacy and maintaining HIPAA-compliant communication
• Keeping the front desk organized, stocked, clean, and ready for patients
• Recognizing what needs attention and taking initiative to keep the day running smoothly

The Person We're Looking For

You are someone who genuinely likes people . You remember faces, make people feel comfortable, and understand that sometimes a small interaction at the front desk can shape someone's entire experience with a practice.

You're also someone who can handle a busy environment. The phone may be ringing while a patient is checking out and another person needs assistance—and you can prioritize, communicate, and keep things moving without losing your composure.

• Comfortable learning new technology and office systems

Previous experience in a healthcare, wellness, chiropractic, dental, hospitality, customer service, or busy front-office environment is helpful, but the right personality, work ethic, communication skills, and ability to connect with people are equally important to us.
