Office Assistant (Vero Beach)

We are seeking an Office Assistant to provide administrative support to the Office Manager in a busy aircraft maintenance office. The ideal candidate is detail-oriented, dependable, and comfortable working independently while assisting with the day-to-day organization and administrative needs of the office. This position requires someone who can efficiently manage a high volume of paperwork, navigate multiple software programs, and network systems, and take initiative to help keep office operations and records organized and running smoothly.

Responsibilities

• Assist the Office Manager with organizing, scanning, copying, and filing a high volume of paperwork and records.
• Assist with maintaining accurate and organized electronic and hard-copy filing systems.
• Assist with creating, updating, and maintaining Excel spreadsheets.
• Utilize Excel formulas and basic spreadsheet functions.
• Assist with data entry and maintaining accurate records.
• Navigate and work comfortably across multiple computer programs, software platforms, and network systems.
• Provide general administrative and clerical support to the Office Manager and maintenance office.
• Assist with document management and ensure paperwork is properly organized and accessible.
• Handle important and confidential documentation with professionalism and attention to detail.
• Take initiative to identify and complete administrative tasks that help keep the office organized and running efficiently.
• Perform other administrative duties as needed to support the office.

Requirements

• Previous office administration, clerical, or administrative support experience required.
• Demonstrated experience working with and organizing a high volume of paperwork and records.
• Strong computer skills with the ability to comfortably work across multiple software programs, platforms, and network systems.
• Microsoft Excel experience required, including knowledge and practical use of formulas.
• Excellent organizational skills and strong attention to detail.
• Ability to manage multiple tasks and priorities while maintaining accuracy.
• Self-starter who can work independently and take initiative with minimal supervision.
• Dependable, professional, and willing to assist wherever needed.
• Ability to learn office procedures and software specific to the aircraft maintenance industry.
• Previous aviation or aircraft maintenance office experience is a plus.
• This is a support position working closely with the Office Manager. We are looking for someone who is dependable, organized, computer proficient, and willing to take initiative to help keep the office and its records running smoothly.

Benefits

• Full Time, Monday to Friday 7am to 4pm
• Hourly: $20.00 to 23.00 per hour
