Position Summary 

The Order Fulfillment & Logistics Specialist owns the movement of product from purchase order to proof of delivery, and the accuracy of the money and inventory that follow it. This is an execution role: quoting and tendering freight across all product lines, resolving live shipment problems as they happen, answering customer order inquiries directly, and closing out the financial tail through freight invoice validation, CHEP auditing, and claims. 

The position sits in Supply Chain and works daily with carriers, 3PL and warehouse partners, customer service, sales, and accounting. Success is measured by on-time delivery, clean freight spend, and a month-end close that does not need rework. 

Key Responsibilities 

Inbound & Outbound Logistics 

• Coordinate inbound and outbound freight across all product lines, including LTL, truckload, and temperature-controlled moves where required. 
• Using Company TMS, source and compare carrier quotes, select the carrier that meets the service requirement at the best landed cost, and tender loads within the committed lead time. 
• Schedule pickup and delivery appointments with plants, warehouses, 3PLs, and customer receiving teams. 
• Track shipments in transit and maintain visibility on status, ETAs, and at-risk loads. 
• Rectify live shipment issues as they occur -missed pickups, rejected loads, equipment failures, detention, reconsignment, and rerouting, and make the call on recovery options. 
• Maintain accurate shipping documentation: BOLs, packing lists, and any customer-specific routing or compliance paperwork. 
• Flag chronic carrier or lane performance problems to the Supply Chain Manager with the data behind them. 

Order Management & Customer Correspondence 

• Serve as the backup for day-to-day contact for all order-related customer inquiries: order status, delivery windows, quantity and pricing questions, documentation requests, and shipment changes. 
• Respond to customers within the agreed service window and keep them informed proactively when a delivery is at risk before they ask. 
• Review sales orders for accuracy against customer requirements, shipping parameters, and product availability prior to release. 
• Coordinate with sales, customer service, production, and warehouse teams to confirm fulfillment against committed dates. 
• Manage, expedites, and cancellations, and communicate the downstream impact to everyone affected. 
• Support customer scorecard and OTIF performance by tracking fill rate, on-time delivery, and chargeback drivers. 

Purchasing & Raw Material Ownership 

• Create and maintain purchase orders for finished goods and confirm acknowledgements, pricing, and delivery dates with suppliers. 
• Hold full-cycle responsibility for a very narrow group of raw materials: forecast review, order placement, delivery follow-up, receipt confirmation, invoice matching, and inventory coverage. 
• Maintain accurate items, lead time, and cost data in the ERP for assigned materials. 
• Assist in resolving supplier delivery, quality, and quantity discrepancies in coordination with Quality and Production. 

Freight Invoice Validation, CHEP Auditing & Month-End 

• Validate freight invoices against quoted and tendered rates, accessorial terms, and proof of delivery; approve, short-pay, or dispute as warranted and drive disputes to resolution. 
• Investigate rate variances and unauthorized accessorials, and recover overcharges from carriers. 
• Audit CHEP pallet transactions issues, transfers, and returns to keep the account balanced and correct misdeclared or unreported movements with trading partners. 
• Reconcile CHEP invoices to actual pallet activity and resolve discrepancies before payment. 
• Prepare month-end book inventory reconciliations: compile in-transit, received-not-invoiced, and adjustment detail, research variances, and provide supporting documentation to accounting. 
• Maintain clean, auditable records for freight spend, pallet balances, and inventory adjustments. 

Claims & Exception Management 

• Own freight claims end to end, document damage, shortage, and loss; file with the carrier or insurer; track to settlement; and record recovery. 
• Manage exceptions arising from sales order fulfillment discrepancies, warehouse shipment errors, and carrier delays — determine root cause, coordinate the fix, and confirm the customer outcome. 
• Process customer deductions and chargebacks related to shipping and fulfillment: validate the claim, dispute what is invalid, and supply Accounting with the backup. 
• Track exception volume and cause by carrier, warehouse, and customer, and bring recurring failures forward with a recommendation. 
• Partner with warehouse and 3PL teams on corrective actions for shipping accuracy and load quality. 

Qualifications 

Required 

• 3–5 years in logistics, transportation, order management, or supply chain coordination, preferably in food, CPG, or another high-velocity manufacturing environment. 
• Hands-on experience quoting and tendering freight and managing carrier relationships. 
• Demonstrated ownership of freight invoice audit or another cost-recovery process. 
• Strong Excel skills (pivot tables, lookups, reconciliation of large data sets). 
• ERP experience- NetSuite, or comparable including PO creation and inventory transactions. 
• Clear, professional written communication with external customers under time pressure. 

Preferred 

• Experience auditing CHEP or other pallet pooling accounts. 
• Exposure to purchasing or materials planning, including supplier follow-up. 
• Familiarity with retail customer requirements and OTIF scorecards. 
• Experience supporting month-end inventory close. 
• TMS experience and working knowledge of cross-border shipping documentation. 
• Post-secondary education in supply chain, business, or a related field, or equivalent working experience 
• APICS/ASCM (CSCP, CPIM) or CITT coursework in progress or completed.

• Organized enough to run transactional volume and month-end deliverables in the same week.

Compensation  

• Competitive compensation (commensurate with experience) Range: $33.00 - $36.00 per hour
