Overview Description Title: HR Coordinator (On-Site) Reports to: Human Resources Manager Job Type: Hourly, Full-Time, Non-Exempt Hourly Rate: $25.00 - $28.00 Location: Hawthorn Woods, IL Apex Landscaping is a full-service landscape company proudly serving the Chicagoland area for over 35 years. Job Summary The HR Assistant supports the daily operations of the Human Resources department and plays a key role in fostering a positive, organized, and efficient workplace. This position assists with recruiting, onboarding, employee records, compliance tasks, and general administrative support. The ideal candidate is detail-oriented, proactive, and committed to upholding the professionalism and a team-focused culture. Essential Functions Maintain accurate and up-to-date HR files, records, and documentation. Oversee onboarding tasks such as collecting and verifying new hire paperwork, including I-9s and tax forms. Serve as a trusted resource for employee questions related to policies, benefits, and HR processes. Support the HR department in conducting regular audits to ensure all required documents are complete and compliant. Provide clerical and administrative support to the HR department. Prepare HR correspondence, forms, and internal communications. Assist with payroll processing, employee questions, and error resolution. Serve as a liaison with benefits providers and external HR vendors. Conduct or assist with new hire orientation. Assist with performance management processes, including reviews and documentation. Support planning and execution of HR events and company activities. Collaborate with HR department in recruitment processes, including supporting candidate screening as needed. Help with benefits administration tasks, open enrollment materials, and employee notices. Participate in HR training and continuing education to maintain compliance knowledge. Support HR projects as needed. Performs other duties as assigned. Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy. Excellent organizational skills and attention to detail. Proficient with Microsoft Office Suite or related software. Collaborative and self-motivated, with a proactive approach to problem-solving. Proficient with or the ability to quickly learn a human resource information system (HRIS), and similar computer applications. Qualifications Associate’s degree in related field required; Bachelor’s degree preferred. Prior related office experience preferred. 1-2 Years of Human Resources experience required. Proficiency in Microsoft Office Suite. Familiarity with Paylocity is a plus. Bilingual (English/Spanish) required. Work Environment This position is fully on-site at our main office located in Hawthorn Woods, IL. The person in this role is expected to commute to the office daily and maintain a consistent in-person presence.
