Administrative Assistant/Dispatcher 

Air Handlers OBX, a division of Sun Realty, is looking for an organized, customer-focused Administrative Assistant/Dispatcher to join our growing HVAC team! What You'll Do

As the Administrative Assistant/Dispatcher, you'll be the first point of contact for our customers and the communication hub for our HVAC technicians. Your responsibilities will include:

• Answer incoming customer calls with professionalism and a positive attitude.
• Receive and prioritize emergency and non-emergency service requests.
• Dispatch HVAC technicians using our field service management software.
• Monitor technician schedules and routes to maximize efficiency.
• Communicate work order details and job requirements to technicians.
• Maintain organized office files and provide general office support.
• Participate in the rotating after-hours phone schedule.

What We're Looking For

The ideal candidate will have:

• 1–2 years of customer service or administrative experience.
• Excellent phone etiquette and communication skills.
• Experience dispatching service technicians or coordinating schedules is a plus.
• Strong computer skills, including Microsoft Office; experience with QuickBooks, Smart Service, or similar field service software is preferred.
• A positive attitude with a strong commitment to providing outstanding customer service.

Requirements

Physical/Mental Demands: Hearing, speaking, seeing, sitting, walking, standing, driving, bending, and climbing steps; lifting and carrying 25-30 lbs., reading, comprehension, legible writing skills and effective written and verbal communication in the English language.

Machines/Equipment/Licenses: Reliable transportation, with valid, active NC driver license, proper insurance, and inspections (as required in company guidelines); computers, copiers, all office equipment. 

Work Environment: Indoor, office work environment, minimal-to-moderate amount of noise infrequent-to-no exposure to outside weather conditions, fast paced, at times mentally strenuous; shifting priorities due to changing needs and situations with little to no notice.

Hours: Full-time, year-round position. Weekends and holidays are required. Overtime may be required. Regular punctual attendance is required.

Salary Range: Pay based on experience and proven ability, determined by AH OBX General Manager
