General Job Description Position Overview The Litigation Specialist provides advanced administrative and litigation support to the Litigation Team within the Legal Department by assisting with complex litigation matters, coordinating case activity, supporting claims administration, and assisting with legal document preparation. This position reports directly to the Litigation Supervisor and works closely with attorneys, legal staff, outside counsel, insurance carriers, and Divisions throughout all phases of litigation and claims management. The role requires advanced organizational skills, strong attention to detail, sound judgment, and the ability to independently manage multiple priorities in a fast-paced, deadline-driven environment. Primary Responsibilities Prepares, reviews, formats, and organizes legal documents, pleadings, correspondence, discovery materials, and other litigation-related documents for review and approval. Coordinates insurance claim handling activities with third-party adjusters, insurance carriers, and outside counsel to support litigation and claims management processes. Maintains and updates electronic case files via SharePoint in accordance with company standards and records management procedures. Manages and updates the Litigation Spreadsheet to actively track the status and procedural history of assigned cases. Tracks and monitors litigation deadlines, court dates, filing requirements, discovery obligations, and other critical case-related activities for assigned matters to ensure timely compliance. Manages and updates calendar invites for hearings, meetings, filing deadlines, mediations, and other important events. Coordinates with outside counsel, insurance representatives, and internal departments to obtain information, records, and documentation related to litigation and claims matters. Reviews documents for completeness, accuracy, and proper formatting. Assists with document collection, review, organization, and production for litigation, discovery, subpoenas, and legal requests. Assists in preparing draft discovery responses and related document production for review and approval. Drafts legal correspondence, settlement communications, claim-related letters, and other litigation-related communications for review and approval. Reviews legal documents and filings for completeness, accuracy, consistency, and compliance with court rules and company standards prior to filing or distribution. Assists with coordination of litigation strategy meetings, mediations, depositions, and trial preparation activities. Provides guidance and support to junior litigation support staff and assists with training on litigation procedures, systems, and department processes. Maintains confidentiality of sensitive legal, personnel, and company information. Perform additional duties as assigned. Minimum Education None Minimum Years of Experience 2-4 Specific Qualifications Required Skills and Abilities Strong organizational and document management skills with attention to detail and accuracy. Ability to prioritize multiple tasks and manage competing deadlines in a fast-paced environment. Effective written, verbal, and interpersonal communication skills. Ability to review and prepare legal documents with consistency and accuracy. Understanding of litigation processes, legal terminology, and court filing procedures. Understanding of insurance claims handling processes and ability to coordinate with insurance carriers and third-party administrators. Ability to exercise sound judgment, maintain confidentiality, and handle sensitive information with discretion. Strong analytical, problem-solving, and critical-thinking skills. Ability to work independently while also collaborating effectively within a legal team environment. Ability to effectively use AI tools to support legal research, document review, organization, drafting, and workflow efficiency while maintaining confidentiality and accuracy. Proficiency in Microsoft Office Suite, Adobe Acrobat, and SharePoint. Ability to learn and effectively use claims management software, legal case management systems, and other job-specific programs. Ability to pass pre-employment screenings such as background and motor vehicle record checks. English speaking, reading, and writing preferred, and required where necessary to perform job duties. Maintain professionalism and a positive, respectful demeanor with customers, coworkers, and business partners. Education/Experience High school diploma or GED required; associate’s or Bachelor’s degree in legal studies, business administration, paralegal studies, or a related field preferred. Three to five years of experience in litigation support, legal administration, claims management, or a related legal support role preferred. Experience supporting complex litigation matters, insurance claims, or high-volume legal operations preferred. Relevant industry certifications or licenses preferred, and required where necessary to perform job duties. Physical Requirements Ability to perform motions, including typing. Work in a typical office environment, sitting at a desk and performing prolonged computer work, with occasional standing, walking, bending, and reaching. Maintain dependable transportation and consistent, reliable attendance to meet customer service and operational needs. Ability to exercise sound judgment and make independent decisions within established company policies and procedures. Ability to work overtime, modified schedules, or occasional weekends as business needs require. Communicate in person, by phone, and electronically, including on a tablet, smartphone, and other office technology. Travel as required to support project and operational needs. Perform all work on-site and in person; this is not a remote or hybrid position. Lift, carry, push, and pull at least 25 pounds.
