The Medication Access Coordinator (MAC) is a critical member of Spectrum's clinical operations team, responsible for ensuring patients receive timely and uninterrupted access to their medications. This role bridges insurance operations, pharmacy coordination, care navigation, and inventory management - removing barriers that stand between patients and the treatments they need. The MAC works across internal teams and external partners to ensure no patient experiences a treatment delay due to administrative, insurance, or supply chain barriers. At Spectrum, we serve a community that has historically faced barriers to healthcare. The Medication Access Coordinator plays a direct role in closing those gaps - not as a back-office function, but as a patient advocate with the skills, tools, and authority to get things done. KEY RESPONSIBILITIES The Medication Access Coordinator is expected to: Insurance & Medication Approvals
• Submit and track prior authorizations required by insurance companies.
• Verify insurance coverage and benefits for medications.
• Help resolve insurance denials and coverage issues.
• Assist with insurance appeals when medications are denied.
• Gather required documentation to support insurance approvals. Pharmacy Coordination
• Work with specialty and retail pharmacies to ensure medication availability.
• Track prescription status and medication deliveries.
• Resolve issues related to refills, delays, or medication shortages.
• Schedule and coordinate medication deliveries to patients and the clinic.
• Coordinate prescription updates and medication changes with providers and pharmacies. Inventory Management
• Manage medication inventory for all clinic medications in Fusebox.
• Complete medication reconciliation and maintain accurate medication records.
• Order medications as needed to maintain appropriate inventory levels.
• Ensure Buy & Bill medications are available for eligible patients to prevent treatment delays.
• Dispense medications daily in Fusebox to support patient care and maintain accurate inventory counts. Care Coordination
• Work closely with the Navigation Team to address issues when patients lose insurance coverage.
• Help identify resources and solutions so patients can continue receiving medications and care.
• Collaborate with clinical and operational teams to remove barriers that could delay treatment. Documentation & Tracking
• Maintain accurate patient records and medication tracking in Fusebox.
• Monitor authorization expiration dates and renewal requirements.
• Track medication access outcomes and identify areas for improvement. Compliance & Quality
• Follow all HIPAA and patient privacy requirements.
• Adhere to organizational policies and procedures.
• Participate in quality improvement efforts.
• Assist with audits and reporting as needed. TRAINING & DEVELOPMENT Authorization & Payer Training
• Ongoing prior authorization and payer training - whether through internally led sessions or online courses - to keep knowledge current with insurance and formulary changes.
• Periodic group training sessions to allow the team to share scenarios, collaborate, and develop shared best practices. Pharmacy & Medication Systems
• Training on specialty pharmacy workflows, Fusebox inventory management, and Buy & Bill processes.
• Cross-training with pharmacy and navigation teams to support seamless patient care coordination. Other tasks and responsibilities as assigned QUALIFICATIONS Minimum Qualifications
• High school diploma or equivalent.
• Minimum 1-2 years of experience in prior authorization, pharmacy coordination, or medical office operations. Preferred Qualifications
• Associate's degree or higher in a health-related field.
• Experience in HIV care, LGBTQ+ health, or community health settings.
• Knowledge of 340B program operations and Buy & Bill medication workflows.
• Familiarity with ADAP, Ryan White, and other patient assistance programs. Work Experience
• Experience with EHR/practice management systems; Fusebox experience a plus.
• Experience working with LGBTQ+ communities, people living with HIV, or other underserved populations strongly preferred.
• Demonstrated experience navigating insurance denials, appeals, and specialty pharmacy workflows. Licenses and Certifications
• Valid Driver's License. (Required)
• Must be able to obtain an Arizona Fingerprint Clearance Card during background check process. (Required) Required Skills, Knowledge, and Abilities
• Strong attention to detail and ability to manage multiple tasks and deadlines simultaneously.
• Ability to communicate clearly and professionally with patients, providers, pharmacies, and payers.
• Demonstrated cultural competency and commitment to reducing stigma.
• Strong written and verbal communication skills; comfortable engaging diverse groups and individuals.
• Understanding of basic HIV terminology, medication regimens, and specialty pharmacy requirements.
• Able to comply with HIPAA regulations and maintain patient confidentiality.
• Ability to work evenings and weekends as required.
• Bilingual (Spanish/English) preferred but not required. COMPENSATION / BENEFITS / TOTAL REWARDS
• Salary Range $22-28/hr DOE
• Comprehensive medical, dental, and vision insurance, eligible on the first day of the month following your start date.
• Company-Paid Life Insurance Policy of $50,000.
• Company Paid Parental Leave
• Additional optional benefits such as: Voluntary Life/AD&D, Accident, Cancer Protection, Hospital, and Short-Term Disability Insurance.
• 403(b) Plan with a 3% company match, eligible after first pay period. Paid Time Off:
• 120 hours of Vacation time, 4.62 hours accrued bi-weekly starting date of hire. Available to use after the first day of employment.
• 1 week, 40 hours of Paid Sick Leave accrued bi-weekly starting date of hire. Available to use after the first day of employment.
• 9 annual paid holidays.
