Nakery Beauty is a science-led beauty brand making treatment-grade skincare, body care, and fragrance. We work with advanced ingredients like NAD+, exosomes, peptides, and PDRN, and we back them with clinical credibility. We sell across DTC, TikTok Shop, live retail (HSN/QVC, Whatnot), Amazon, and specialty beauty retail, including Ulta.

We move fast. In a typical month we run several product launches, live broadcasts, retailer presentations, create content daily, and manage supplier milestones at the same time. Our founder is involved in all of them.

The Role

This is not a traditional calendar-and-travel job. You will be the Founder's right hand and run the operating layer around her. You will keep deadlines on track across the team and partners, raise risks early, and make sure every decision, review, and broadcast reaches her prepared, on time, and with room for edits.

Success means the Founder spends her time on product, claims, retail relationships, live selling, content, and creative direction. You handle everything else, and nothing slips through the cracks.

What You'll Own

Executive Support

· Manage the Founder's calendar, inbox triage, meeting scheduling, and travel. Protect time for focused work.

· Prepare briefs before meetings: agenda, background, open decisions, and what the Founder needs to bring. Work directly with team members to make sure Founder gets appropriate pre-reads and adequate time for reviews, edits, and approvals.

· Capture decisions and action items, and follow up with owners within 24 hours.

· Draft routine replies in the Founder's voice for her approval, and handle them independently over time.

· Handle personal logistics as needed so the Founder can stay focused.

Launch & Deadline Accountability

· Maintain one shared tracker of priorities, launches, and deadlines across all channels. We use Monday, which is easily connected to the entire team.

· Own readiness checklists for live-retail broadcasts and key launches. Track every asset, approval, and sample against its due date.

· Escalate missed or at-risk deadlines quickly and clearly: what is late, the impact, and the options.

· Make sure every founder-review package (decks, product bibles, claims, creative, packaging) reaches the Founder at least one week before it is due, with time for edits.

Cross-Functional & Partner Coordination

· Act as the Founder's point of contact with internal leads (marketing, R&D, operations, live selling) and external partners (manufacturers, agencies, retailers, photographers).

· Follow up on supplier and production milestones such as quotes, purchase orders, pre-production samples, and artwork approvals.

· Run the weekly Founder priorities meeting and keep the decisions-and-follow-ups log.

· Coordinate shoots, broadcast prep, events, and retailer meetings from start to finish.

Polished Materials

· Turn rough notes into presentation-ready documents, one-pagers, and PDFs that meet a premium brand standard.

· Proofread and fact-check materials against approved product names, formulas, and claims before they reach the Founder or leave the company.

· Keep files, approvals, and final assets organized so anyone can find the current version.

What Success Looks Like

In 30 days

· You run the Founder's calendar, inbox triage, and travel with no errors.

· You know the team, key partners, active launches, and how the Founder likes to work.

In 60 days

· You fully own deadline tracking and escalation for at least one major channel, such as live-retail broadcasts.

· The Founder receives weekly priority summaries and review packages on schedule.

In 90 days

· You run follow-ups across all active launches and partner workstreams.

· The Founder no longer chases deadlines herself. She hears about risks from you first.

· You handle a growing list of decisions on your own, guided by a written delegation guide.

Who You Are

· 5+ years as an executive assistant, chief of staff, project coordinator, or operations generalist supporting a founder or C-level executive. Experience in startups or high-growth companies is strongly preferred.

· Beauty, CPG, retail, or ecommerce experience is a strong plus. Familiarity with product launches, retail calendars, live commerce, or supplier timelines puts you ahead.

· A relentless follow-through operator. You track everything, close loops without being asked, and are comfortable holding senior people and partners to deadlines.

· Calm escalator. You raise problems early, bring options, and never let bad news sit.

· Excellent writer and editor. Your emails, summaries, and documents are clear, concise, and polished.

· Detail-obsessed. You catch the wrong product name, the outdated claim, and the missing approval.

· Discreet. You handle confidential product, financial, and partner information with complete integrity.

· Tech-fluent. You're comfortable with Microsoft 365 or Google Workspace, project trackers, shared drives, and AI tools, and you learn new systems quickly.

· Flexible. You can handle shifting priorities, launch weeks, and the occasional after-hours broadcast or deadline.

Nice to Have

· Experience supporting live-retail (HSN, QVC) or TikTok Shop operations

· Familiarity with cosmetic claims, regulatory review, or product development workflows

· Design sense for presentations (Canva, PowerPoint, Keynote)

· Experience building operating rhythms and processes from scratch
