Assistant Bookkeeper Location: Downers Grove, IL 60515 Job Type: Full-Time Work Schedule: Monday–Friday | Fully In-Office

POSITION SUMMARY

We are seeking a detail-oriented and service-focused Assistant Bookkeeper to join our growing team. This role provides bookkeeping and administrative support to Finance Managers while ensuring accurate financial reporting and exceptional client service. The ideal candidate is highly organized, professional, and able to manage multiple priorities in a fast-paced financial healthcare environment. The Assistant Bookkeeper will work closely with multiple clients and internal stakeholders, requiring strong communication skills, attention to detail, and the ability to maintain confidentiality and professionalism.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Provide bookkeeping and administrative support to multiple Finance Managers Manage daily accounting activities within QuickBooks Process and maintain accurate accounts payable and accounts receivable records Perform bank reconciliations and process returned checks Process client expense reports accurately and timely Download and reconcile daily bank deposits and update deposit records Prepare, enter, and print checks Process client deposits via various methods Handle incoming and outgoing mail and related administrative tasks Maintain accurate financial records and documentation Support multiple clients while providing exceptional customer service

QUALIFICATIONS – EDUCATION AND EXPERIENCE

Associate’s Degree in Accounting, Finance, Business Administration, or a related field preferred Equivalent combination of education and relevant work experience will be considered Solid understanding of accounting principles, concepts, practices, and procedures Previous bookkeeping, accounting, or finance support experience required Experience using QuickBooks required Proficiency in Microsoft Excel required

Ability to navigate seamlessly across Windows desktop functions Strong organizational and time management skills Excellent communication and interpersonal skills Competent note‑taking and information recall abilities Ability to prioritize and manage multiple deadlines simultaneously using task management software High attention to detail and commitment to accuracy Strong problem‑solving and practical decision‑making abilities Proficiency in completing multi‑step processes Professional, friendly, and service‑oriented demeanor Ability to work effectively under pressure and adapt quickly to changing priorities Self‑directed, dependable, and highly reliable Ability to maintain confidentiality and handle sensitive financial information
