Classification: $25.00 - $28.00 Hourly, non-exempt

Schedule: In-person

Reports to: President/CEO directly

THE ROLE

This role supports the President/CEO directly while executing the disbursement and deposit mechanics of the business.

It's a hybrid seat: part executive support, part finance execution. You'll prepare payments, handle deposits, and keep

the CEO's office running — all inside a defined set of financial controls, working in close coordination with our

Bookkeeper. This role is deliberately broader than a traditional assistant position; finance execution is a core part of it,

not an add-on. Hospitality is core to who we are, and so is merit — Rupal Hospitality advances people on performance,

not tenure.

Requirements:

WHAT YOU'LL DO

• Prepare and print checks from the approved payables queue with backup attached, and route them for signature.

• Assemble check runs and payment batches; confirm each item is within approved limits or carries specific

approval before preparation.

• Prepare AR invoicing and follow up on outstanding receivables in coordination with the Bookkeeper.

• Make bank deposits and maintain a dated cash-receipt / deposit log for every deposit.

• Coordinate with the Bookkeeper on payables timing, vendor questions, and payment status.

• Manage the CEO's calendar, scheduling, and meeting coordination across entities.

• Coordinate travel, correspondence, and follow-up items.

• Prepare and organize documents, and track action items to closure.

• Handle confidential matters with discretion; serve as first point of contact for the CEO's office.

WHAT WE'RE LOOKING FOR

• 2+ years in executive support and/or AP/AR administration; bookkeeping exposure a plus.

• Trustworthy with cash and confidential information; precise and reliable.

• Strong organization and communication skills; comfortable operating inside defined financial controls.
