Priority Location: Latin America and Philippines

Working Hours: 9AM - 5PM (Mon - Fri) EST

Salary Range: $2,000 - $3,500 USD per month (The final offer is at the client's discretion and depends on the candidate's interview result, skills, and experience.)

Key Responsibilities:

Job Costing & Project Accounting

• Own end-to-end job-costing processes across both companies, ensuring direct and indirect costs (materials, labor, vendors) are accurately allocated at the job level.
• Partner with operational teams to investigate missing information, resolve uncategorized costs, and reconcile financial data with physical field activity.
• Review project-level financials for anomalies to improve profitability reporting and provide leadership with clear visibility into service line and project performance.

Expense Management (Ramp)

• Manage the day-to-day Ramp workflow, reviewing transactions, enforcing proper documentation, and ensuring accurate categorization before sync to the ERP.
• Investigate unclear transactions and coordinate with employees/managers to resolve outstanding items and minimize uncategorized expenses.
• Establish a repeatable process for moving expenses seamlessly from initial swipe to accurate job-level reporting.

Accounts Payable & Labor Allocation

• Manage the Accounts Payable function, including reviewing vendor invoices for accuracy, securing necessary approvals, and coding expenses to correct jobs, departments, or cost centers.
• Ensure accurate labor expense allocations across projects to reflect true job costs and margins.
• Maintain supporting documentation, track outstanding approvals, and resolve discrepancies between invoices, purchase orders, and recorded transactions.

General Accounting & System Reconciliations

• Maintain accurate, day-to-day financial records within QuickBooks Online (QBO) and perform routine account reconciliations.
• Transition operational accounting responsibilities from outsourced resources and executive leadership into an in-house function.
• Ensure financial data integrity across integrated systems, including QBO, Ramp, Aspire, and Jobber.

System Migration & Process Improvement

• Support the transition to specialized operational ERPs (Aspire and Jobber), ensuring seamless data flow between expense management, operations, and accounting software.
• Identify inefficiencies in existing accounting workflows and replace ad-hoc, manual interventions with scalable, automated procedures.
• Develop clear standard operating procedures (SOPs) for AP, expense management, and job costing to support company growth.

Internal Controls & Strategic Partnership

• Implement internal controls, transaction review standards, and data quality checks to prevent duplicate entries, incorrect coding, or unapproved spending.
• Serve as a bridge between operations and finance, translating field activity into precise accounting records.
• Proactively identify financial risks, inconsistencies, or operational bottlenecks and report insights directly to leadership.

Qualifications & Skills:

• Approximately 8–10 years of relevant accounting experience.
• Strong practical accounting knowledge.
• Demonstrated experience with job costing or project-based accounting.
• Experience with Accounts Payable.
• Strong expense coding and cost-allocation experience.
• Experience working with QuickBooks Online or comparable accounting software.
• Comfortable working with expense-management platforms such as Ramp or similar tools.
• ERP or operational-system experience.
• Experience within construction, landscaping, field services, project-based businesses, or related industries is highly advantageous.
• Excellent numerical accuracy and attention to detail.
• Strong reconciliation and investigative skills.
• Ability to identify discrepancies and determine their underlying cause.
• Strong organizational and documentation skills.
• Comfortable managing a high volume of transactions across multiple jobs or projects.
• Ability to work independently and make sound accounting judgments.

• Strong written and verbal English communication.
• Ability to communicate accounting requirements clearly to non-accounting stakeholders.
