The Opportunity: Scheduling Coordinator

As the Scheduling Coordinator , you're the friendly voice on the phone and the warm welcome at the front desk. You'll be the first point of contact for new and returning patients - a true Patient Ambassador who helps make every visit smooth and stress-free.

This is a fast-paced, highly rewarding role that requires top-notch organization, a calm and caring demeanor, and a commitment to providing a gold standard of service. You'll support multiple locations and help create a seamless, professional experience for every family who walks through our doors.

What You'll Do:

• Be the first impression: greet patients in person and over the phone with warmth and professionalism

• Schedule and confirm appointments across multiple practice locations

• Manage incoming calls in a high-volume call center environment

• Handle patient check-in and check-out procedures

• Coordinate patient flow and maintain efficient schedules

• Work with insurance billing, payments, and other administrative records

• Build long-lasting patient relationships with a focus on service and trust

• Support team members and providers with administrative tasks as needed

What We're Looking For:

• Required:

  • Availability to work at both Hyannis and Orleans locations

  • Excellent organizational and time-management skills

  • Prior customer service experience (call center or front desk a plus)

  • Strong communication skills - verbal and written

  • Ability to multitask and stay calm under pressure

  • A love for working with families, especially children and parents

  • High School Diploma or GED

  • A sense of humor and compassion

  • A strong set of personal values and integrity

  • Willingness to learn, adapt, and grow with the team

• Preferred:

  • Prior scheduling experience, especially in a healthcare/dental setting

  • Familiarity with insurance billing and financial record keeping
