Status: Temporary Assignment, September 2026 –  February 2027 

Hours: 20/week, Monday - Friday (Hybrid)  

Location : Brooklyn,  NY or  Bloomington, IN  

Reports to : Head of People & Inclusion and HR Operations Manager  

Secretly Group is a U.S.-based independent music company founded in 1996 and headquartered in Bloomington, Indiana. It operates as a multi-label group, creative services platform, and music publishing company focused on artist development and long-term catalog value. Notable artists include Bon Iver, Mitski, Khruangbin, Phoebe Bridgers, and Japanese Breakfast. With offices in New York, Los Angeles, Chicago, and London, affiliated labels include  The Numero Group ,  Ghostly International ,  drink sum wtr ,  Merge Records , and  Sacred Bones Records . All labels share infrastructure and common distribution through  Secretly Distribution , the distribution and services arm founded in 1997, operating as an enterprise level, global music distributor for independent labels and artists. Secretly Distribution is widely recognized as one of the largest independent music distributors today.  

Position Summary:

We are  seeking a Temporary HR Coordinator to provide day-to-day operational support during  parental leave. This role  is responsible for helping manage the employee lifecycle, from recruiting through offboarding, while ensuring the HR department continues to  operate smoothly across multiple U.S. and international offices.  Working closely with the HR Operations Manager, the HR Coordinator will support recruiting coordination, onboarding, employee documentation, leave administration, HRIS maintenance, and general HR administration. The role will also  assist with recurring administrative projects, scheduling, reporting, and coordination of annual HR initiatives.  

This position is ideal for someone who enjoys creating structure, thrives on organization, and is interested in gaining broad exposure across all areas of Human Resources within a growing global organization .  

Responsibilities:

• Coordinate full-cycle recruitment administration, including  drafting job posts,  posting  role s, scheduling  interviews   and  maintaining   our  applicant tracking system  

• Support onboarding and offboarding activities, ensuring  timely completion of documentation, HRIS updates,  some onboarding   coordination &cross-functional communication  

• Maintain  accurate documentation within BambooHR   and  employee personnel files  

• Assist with  HR  administration of  the  employee lifecycle  

• Coordinate recurring HR processes including training assignments, document retention, compliance  tracking, and  signed acknowledgements  

• Provide administrative support for annual HR initiatives including performance reviews, Open Enrollment,  training   compliance,   and  other  year-end projects  

• Support calendar management, meeting  coordination,   and expense reporting for the HR Operations Manager   

Ideal Candidate will Possess: 

• Prior experience handling HR administrative tasks is preferred  

• Outstanding organizational skills and exceptional attention to detail, with the ability to manage multiple priorities simultaneously  

• A proactive, service-oriented approach and a genuine interest in supporting employees and leaders across the organization  

• Excellent written and verbal communication skills with the ability to interact professionally at all levels of the business  

• Strong judgment and discretion when handling confidential and sensitive information  

• Comfort navigating ambiguity while  maintaining organization and follow-through  

• A systems mindset with an interest in improving processes and creating operational efficiency  

• Strong  excel skills and confidence working with  large amounts of information and data  


• Experience working with HRIS platforms (BambooHR preferred), Google Workspace, and Microsoft Office
