Scope of Position The Optometry Coordinator provides supervision, direction, administration, and coordination within the Optical sites to include clinical and non-clinical areas. The Optometry Coordinator will act as the liaison between the Optical sites business and the Regional Directors and other center leadership. Ensures optimum employee satisfaction by building and maintaining a working environment of trust, open communication, and respect for each team member. Primary Responsibilities Oversees all the responsibilities of the Optometric Technicians including: Enforces adherence to organizational policies and procedures such as Time, Attendance & Punctuality and Dress & Grooming. Prepares and delivers employee appraisals, disciplinary actions, competencies, and coaching. Evaluates resumes/employment documents of potential candidates and makes hiring decisions. Prepares timely and accurate notes on employee issues and meetings. Assists with orientation and training of newly hired staff. Develops on boarding and training schedule for new team members. Ensures all assigned team members comply with required training. Receives and resolves patient and staff concerns and applies problem solving strategies and techniques. Informs Director of any patient and staff concerns. Develops staff schedules to ensure proper coverage at sites and monitors overtime. Ensures compliance with work-flow processes. Maintains knowledge of and adheres to corporate policies related to Safety, Risk Management, HRSA, OSHA and VFC requirements. Initial recipient of "call outs." Assist with the daily schedule to cover "call outs" and then reports changes to the Director. Keeps the flow of the work running smoothly and reports any issues that may impede the work environment to the Director. Monitors and approves purchasing processes for Optometry sites. Participates in patient centered marketing activities in accordance with approved marketing plans and community events. Maintenance Coordinates/evaluates daily operations including clerical, clinical, information systems, and facilities management. Provides first-line support and resolution of facility issues and reports the issues to the Director. Maintains all necessary optical center information brochures, accreditation documents, and other information. Quality Assists with ensuring compliance with local, state, and federal rules and regulations, and accrediting bodies. Conducts and participates in real or mock surveys and emergency drills. Evaluates key processes, clinical or non-clinical, for continued improvement and efficiency. Initiates Incident reports and ensures proper completion and communication as required. Functions as a Subject Matter Expert for EHR regarding optometry. Ensures equipment is in proper working order, including required yearly or bi-annual maintenance stickers. General Duties Assist Optometric Technician if necessary, on any pre-screening, repairs, and dispensing and patient eyewear selections. Responsible for addressing any customer service issues. Places all lab orders Places all frame orders Verifies that all eyeglass prescriptions are correct. If assigned, monitor that instruments in optical center are properly cleaned, sterilized, and stored for procedures. Maintain supply inventories and may order supplies with Director's approval. Review all claims for accuracy and assist center personnel with the corrections of any errors. Researches and ensures corrections are made on denied claims due to missing or incorrect information. Verify insurance information and eligibility on all scheduled patients. Determine benefit coverage of scheduled services, deductible, coinsurance, and any co-pay amount. Verify if deductibles have been met. Ensure that a copy of the current proof of eligibility is scanned into patient's chart. Review demographic information on scheduled patients. Set any alerts necessary to determine if it is necessary to obtain any missing or incorrect demographic information. Notify Center leadership when it is necessary to obtain insurance authorization. Completes additional projects and/or duties as assigned or necessary by the Director within established guidelines. Perform other duties as assigned. Self-motivated with strong organizational skills Computer skills and medical software experience Equipment / Machinery Various medical equipment depending on routine functions such as auto refractor, NCT, puff tonometer, Fundis photography, visual fields (possible), and lensometer. Physical Requirements & Health Safety Standing for moderate periods of time Sitting for moderate periods of time Stretching Lifting up to 10-15 pounds Transporting up to 10-15 pounds short distances Working with small implements requiring accuracy and precision Reading forms/instructions/technical information Following non-technical/technical directions Speaking understandably to people of various ages, educational levels, cultural backgrounds in person/by telephone Hearing verbal conversations with people of various ages, educational levels, cultural backgrounds in person/by telephone Making decisions with varying amounts of guidance Minimal to moderate exposure to infectious/contagious illnesses depending on exact work location. Must utilize universal precautions in clinical or exposure situations as prescribed by federal, state, and local guidelines and/or law. Qualifications Education High school diploma or equivalent Certification Current/valid BLS certification or must be obtained within the first 30 days of employment. Experience A minimum of 3 years' experience in Optometry practice.
