Public Health Documentation & Quality Assurance Specialist

SH-968 Public Health Documentation & Quality Assurance Specialist Position Overview This position works under the general direction of the Project Lead or Designee. Responsibilities include organizing, maintaining, and strengthening project documentation across public health analytics, epidemiology, GIS, dashboards, reporting, and operational workstreams. The Public Health Documentation & Quality Assurance Specialist ensures that documentation is accurate, current, client-ready, and aligned with internal quality standards. This role is an integral member of the project team, contributing to the overall integrity, audit-readiness, and successful delivery of public health initiatives. Key Responsibilities Develop, maintain, and update standard operating procedures (SOPs), data dictionaries, decision logs, trackers, and meeting action items to ensure clarity and consistency. Support quality assurance review of dashboards, tables, reports, scripts, public-facing language, and client deliverables to ensure accuracy and adherence to standards. Prepare clear summaries, status updates, meeting notes, and comprehensive documentation for both internal and external stakeholders. Coordinate documentation efforts across multidisciplinary workstreams, including epidemiology, data engineering, GIS, and reporting teams. Maintain organized project folders, documentation libraries, reusable templates, and robust version control processes. Support the creation of onboarding materials, training resources, and knowledge transfer documentation for new team members. Proactively track documentation gaps, follow up on missing items, and ensure all project materials remain audit-ready. Monitor documentation requirements against contract scope, reporting deadlines, and evolving client expectations. Communicate effectively with project leads and interdisciplinary team members to support coordinated and transparent project execution. Complete other tasks as assigned by the supervisor. Qualifications & Requirements Education: Bachelor s degree in Public Health, Health Administration, Communications, or a related field required; Master s degree preferred. Experience: Minimum of two years of experience in public health writing, documentation, or quality assurance required. Skills: Strong writing, documentation, and editing skills with the ability to organize complex technical and analytical information into clear documentation. Strong attention to detail, quality assurance discipline, and the ability to manage competing priorities across multiple workstreams. Familiarity with public health terminology, population health, epidemiology, or health equity concepts. Core Competencies Effective communication with project leads, multidisciplinary team members (epidemiologists, analysts, GIS specialists), and external clients. Fostering collaborative relationships within a team environment to ensure documentation needs are met. Sensitive navigation of complex public health topics, including health equity, substance use, infectious disease, and behavioral health. Proactive approach to maintaining organized, standardized, and accessible project documentation. Enthusiastic collaboration in a fast-paced, deadline-driven environment. Creative adaptation of documentation formats to meet diverse stakeholder needs. Commitment to quality improvement and ongoing professional development in public health best practices and knowledge management. Working Conditions Communicate and interact with project staff, clients, and stakeholders on a daily basis. Work with complex data sets and technical information from various public health domains. Prepare for the possibility of shifting priorities and unexpected deadlines to occur.
