GME Program Administrator, General Surgery Residency

Organization Department of Surgery Education, Vanderbilt University Medical Center Job Summary As a Graduate Medical Education (GME) Program Administrator, you will collaborate with the Senior GME Administrator to coordinate all aspects of the residency program, including recruitment, onboarding, regulatory compliance, and documentation. You will serve as the primary liaison among approximately 80 residents, faculty, administrative staff, and external partners, ensuring smooth program operations and adherence to ACGME standards. Required Qualifications Bachelor’s degree (or equivalent experience) Minimum 2 years of relevant experience Prior experience in Graduate Medical Education is preferred Location and Remote Work Initially on‑site at Vanderbilt Medical Center North, 1211 21st Ave. South, 4th floor, Nashville, TN. After the probationary/training period, a hybrid remote schedule will be available. Typical hours are Monday through Friday during standard business hours, with flexibility required during recruitment seasons. Key Responsibilities Assist in all aspects of the recruitment process. Provide direct administrative coordination for Program Leadership. Support process improvement and academic oversight, including data collection and documentation. Reconcile monthly program ledgers and assist in budgetary management. Maintain and update program‑specific databases. Collect and submit data to accrediting bodies and regulatory agencies. Plan, coordinate, and execute annual events for the residency or fellowship program. Maintain Residency Management Software, create evaluations, and manage work‑hour logs and reports. Additional duties may be assigned as needed. Technical Capabilities Program Management – Planning and executing program goals. Peer Leadership – Influence peers to achieve team objectives. Financial Processes – Monitor costs and manage budgets. Quality Management – Verify compliance with standards. Networking – Build industry relationships. Process Improvement – Optimize existing processes. GME Program Administration – Knowledge of ACGME requirements and policies.
