Folio Association Management is seeking an experienced Community Association Manager – Floater to provide operational leadership and management support to both portfolio-style and on-site community associations throughout South Florida.
This role serves as a regional management resource, providing coverage wherever operational needs exist while ensuring continuity of service, consistent communication, and operational excellence across communities.
The Community Association Manager – Floater is responsible for quickly integrating into communities, establishing productive relationships with Boards of Directors, residents, vendors, and business partners, and maintaining the high level of service expected of Folio Association Management. This individual serves as a trusted advisor to Association Boards while ensuring compliance with governing documents, Florida Statutes, Company Standards of Excellence, and established operational procedures.
This is a field-based position requiring frequent travel throughout South Florida and the ability to effectively manage multiple priorities, adapt to changing business needs, communicate professionally with diverse stakeholders, and provide seamless operational support wherever needed.

Community Coverage & Operational Support
- Provide management support to both portfolio-style and on-site community associations throughout South Florida, serving as a regional resource wherever operational needs exist.
- Quickly assess communities by reviewing governing documents, open action items, financial information, CINC records, SharePoint documentation, and other operational materials to ensure a seamless continuation of Association operations.
- Maintain continuity of day-to-day operations while ensuring consistent service delivery, effective communication, and adherence to Folio's Standards of Excellence.
- Adapt to changing operational priorities and provide management support across multiple communities as business needs require.
Board & Association Management
- Manage the day-to-day operations of condominium and homeowners' associations, serving as the primary point of contact for Boards of Directors, owners, residents, vendors, and business partners.
- Plan, prepare for, and attend Board meetings, annual membership meetings, special meetings, committee meetings, and elections in accordance with Florida Statutes and governing documents.
- Prepare meeting agendas, board packages, notices, meeting minutes, and related Association documentation in accordance with Company standards.
- Provide guidance to Boards regarding governance, operational best practices, governing document interpretation, policy implementation, and statutory compliance.
- Foster positive working relationships with Board members while maintaining professionalism, objectivity, and appropriate governance boundaries.
Community Transitions & Onboarding
- Support the successful onboarding and operational integration of newly managed communities.
- Coordinate the transition of Association records, governing documents, financial information, owner data, vendor contracts, and operational documentation into Company systems.
- Establish productive working relationships with Boards, owners, residents, vendors, and community stakeholders during transition periods.
- Partner with Regional Leadership to ensure operational readiness and a seamless transition to permanent community management.
Financial Oversight
- Review monthly financial statements, budgets, reserve funding, assessment collections, accounts payable, and accounts receivable in coordination with the Accounting Department.
- Monitor Association expenditures to ensure consistency with approved budgets and Board direction.
- Review invoices for accuracy and appropriate approval prior to payment.
- Assist Boards in budget preparation, financial planning, and reserve funding discussions as needed.
- Coordinate collection matters and legal escalations with Association counsel in accordance with governing documents and Florida Statutes.
Property Operations & Vendor Management
- Conduct regular property inspections to evaluate community conditions, vendor performance, maintenance needs, safety concerns, and compliance with Association standards.
- Manage vendor relationships, service agreements, contract renewals, competitive bid processes, and certificates of insurance.
- Coordinate maintenance projects, capital improvements, preventative maintenance initiatives, and operational projects with vendors and internal departments.
- Monitor vendor performance and facilitate timely resolution of service-related issues.
Owner & Resident Relations
- Serve as a professional and responsive resource for owners and residents, ensuring timely follow-up and effective communication.
- Communicate Board decisions, Association policies, operational updates, and community initiatives clearly and professionally.
- Assist in resolving owner concerns while maintaining confidentiality, professionalism, and alignment with Board authority.
Administrative & Operational Excellence
- Maintain accurate Association records and documentation within Company systems, including CINC, SharePoint, and other operational platforms.
- Ensure communities consistently follow Folio's Standards of Excellence (SOE), operational procedures, and documentation standards.
- Prepare comprehensive operational reports, transition summaries, and status updates for Regional Leadership.
- Support process improvement initiatives, operational consistency, and organizational best practices across the region.

Qualifications
· High school diploma or equivalent required; college degree in business, property management, hospitality, or a related field preferred.
· Minimum 2-4 years of experience managing Florida community associations, with demonstrated experience managing both portfolio-style and on-site communities.
· Strong working knowledge of Florida Statutes Chapters 718, 719, and 720.
· Experience working directly with Boards of Directors and managing multiple communities or clients simultaneously.
· Demonstrated ability to quickly adapt to changing operational needs, integrate into new communities, establish productive relationships with Boards of Directors and stakeholders, and maintain operational continuity across assigned communities.
· Proficiency with CINC or comparable association management software; familiarity with SharePoint and vendor COI tracking systems preferred; proficiency with Microsoft Office Suite.
· Proven ability to manage competing priorities, deadlines, projects, and client expectations across multiple communities and Boards simultaneously.
· Strong financial management skills, including budget development, financial statement review, assessment collections, invoice review, and expense management.
· Excellent written and verbal communication skills, with confidence presenting to Boards and handling sensitive owner matters.
· Ability to exercise sound judgment, maintain confidentiality, and handle sensitive or challenging situations professionally.
· Bilingual English/Spanish preferred for South Florida markets.
· Valid Florida driver's license and reliable transportation; ability to travel regularly within the South Florida region.

• Active Florida Community Association Manager (CAM) license pursuant to applicable Florida law.

- Ability to work outdoors and in varying weather conditions as needed.
- Ability to use standard office equipment, computers, mobile devices, and communication systems.
- Ability to occasionally lift and carry materials weighing up to approximately 25 pounds.
- Ability to respond to community emergencies and attend Board meetings, inspections, and other Association events, including occasional evenings and weekends as business needs require.
