USPA ACCOUNTING COORDINATOR

Reports Directly To: Corporate Controller Reports Indirectly To: Chief Financial Officer The USPA’s Accounting Coordinator is responsible for supporting the financial accounting functions for Polo Development LLC and USPA Services department ensuring accurate and efficient financial transactions management. The position is within the USPA Corporate Division and reports directly to the USPA Corporate Controller and indirectly to the Chief Financial Officer. POSITION DESCRIPTION INCLUDES BUT IS NOT LIMITED TO: Accounts Payable Manage and review the setup of vendor records in Ramp, verifying banking information and all onboarding information as required prior to services being performed or payments being processed Manage and process invoices, ensuring accuracy and compliance with company policies. Coordinate payments to vendors ensuring appropriate documentation, approvals and GL coding are obtained. Handle invoice discrepancies and promptly resolve billing issues. Reconcile accounts payable transactions for accuracy and completeness. Review and approve company credit card transactions and reimbursements, ensuring supporting documentation is maintained. Process stipends for PDI, NYTS travel reimbursements, TUSPA Grants, YPO Young Player Outreach, Young Industry Professional, Scholarships and other programs as needed. Ensure all stipend and reimbursement requests include required supporting documentation, applicable MOUs, proper approvals, and accurate GL coding prior to payment. Coordinate the purchase of trophies for Polo Clubs as needed. Process and coordinate TSP prize money invoices and payments, ensuring proper vendors set up in Ramp, proper approvals, supporting documentation, and compliance with company policies. Board and Committee Stipends Process stipends for Board and Committee meetings as needed, ensuring proper vendor setup in Ramp and appropriate documentation and approvals are maintained. Contract Agreements Review and maintain new contracts to ensure timely payments and filing maintenance. Review Certificates of Insurance for required documentation and expiration dates and obtain updated certificates as needed. Accounts Receivable Generate invoices and maintain accurate records of billing activities. Update and maintain customer information as needed. Collaborate with fellow employees to address billing inquiries, collections and disputes. Reconcileand adjustaccounts as needed to ensure accuracy and completeness. Assist with general ledger account research and reconciliation as directed. Skills/Requirements Extensive accounting experience. Strong organizational, internal communication and administration skills. Proficient in Microsoft Office Products, Ramp, Sage accounting software, and other relevant programs. Proven ability to prioritize tasks as per management directives.
