Legal Marketing Coordinator The Legal Marketing Coordinator provides essential operational, administrative, and database support to our multi-state legal marketing team. Reporting directly to the Marketing & Business Development Manager, this role focuses on maintaining legal database integrity, executing routine invoice tracking workflows, and managing administrative department tasks. Assists with marketing projects and initiatives. The ideal candidate possesses extreme attention to detail, respects strict legal confidentiality rules, and thrives in a fast-paced, deadline-driven legal environment. Requirements Admission Tracking & Invoice Payments: Coordinates, processes, and tracks all attorney admissions, associations, and bar dues. Serves as an administrative point of contact for marketing vendor accounts. Receives, reviews, and logs incoming invoices; routes them for approval, tracks payment status, and interfaces with the accounting department. Data Support: Collects and maintains firm-wide matter experience data. Performs routine data entry and continuous updates within the firm's systems. Regularly cleanses, organizes, and updates client lists, attorney contact segments, and mailing lists. Supports analytic reporting processes related to the website, social media, and marketing initiatives. Marketing Operations & Deliverables Tracking: Maintains the firm's marketing calendar and project trackers, including deadlines, recurring items, status updates, follow-up items, and deliverables. Assists with scheduling marketing related activities. Practice Group Logistics: Packages and ships firm marketing materials to out of state offices and assists with administrative practice group collaboration. Research prospective clients, professional organizations, and other topics. RFP & Pitch Support: Assists the team with assembling Request for Proposal (RFP) packets and pitch decks. Performs proofreading for grammar and formatting, and updates team biographies. Other Duties Include: Process business trip requests and collect business trip reports; Process and track sponsorship requests and assist with sponsorship participation; Coordinate event logistics for CLE programs and client seminars; Maintain updated information on the firm's intranet; Organize marketing assets, practice group collateral, digital photography, past pitch responses, and firm announcements; Order and distribute business cards, stationery, and other collateral; Assist with onboarding duties; and Other tasks as assigned. Qualifications & Requirements Education: High School Diploma or equivalent required; Associate's or Bachelor's degree in Business Administration, communications, or a related field is preferred. Experience: 13 years of administrative assistant, data entry, or office coordination experience. Prior experience working within a law firm, corporate legal department, or professional services environment (accounting, engineering, consulting) is highly preferred. Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Strong familiarity with spreadsheet data entry and tracking. Prior exposure to legal tech (document management systems or legal CRMs) is a significant plus. Core Competencies: Absolute discretion regarding sensitive firm, client, and attorney information. Exceptional attention to detail, elite proofreading habits, and the capacity to manage tight legal deadlines.
