This position serves as a key point of contact for HR-related inquiries and coordinates employment actions, timekeeping and leave processes, onboarding and offboarding activities, graduate student employment, HR programs, compliance, records management, reporting, and special projects. The HR team environment encourages collaboration and mutual support while allowing team members to maintain their individual areas of responsibility. While each Coordinator has their own departments within the EVPP unit of focus, this is not a siloed role. The team works together regularly, shares knowledge and resources, and provides backup and coverage for one another. **Responsibilities*** **HR Actions, Employment Lifecycle and Workday Administration**: Coordinate and process a broad range of HR actions in Workday in support of the full employment lifecycle in Workday in support of staff, students, and non-employees. Partner closely with the HR Assistant Director to coordinate employment activities, including position requisitions, recruitment support, appointments, on/offboarding, transfers, changes in employment status, and other personnel actions. Lead the coordination, processing, and monitoring of Workday for non-teaching academic jobs. Ensure all business processes are completed accurately and within established timelines. Prioritize and monitor the approval of staff and student timesheets and provide timely follow-up to resolve outstanding actions. Provide troubleshooting and customer support related to timekeeping, leave balances, adjustments, vacation, other payouts, and FMLA tracking. Adapt priorities and workflows as employment needs, systems, policies, and organizational requirements change.* **HR Customer Support and Employee Services**: Serve as the primary point of contact for HR-related questions, concerns, and requests, providing responsive, professional, and customer-focused service. Triage and prioritize inquiries based on urgency, complexity, business impact, and applicable deadlines. Research questions and collaborate with campus stakeholders to resolve issues and provide timely, accurate, and consistent information. Receive and appropriately escalate personnel and employee relations matters to the HR Assistant Director, exercising discretion and maintaining confidentiality. Coordinate the development, review, and distribution of HR announcements, updates, reminders, and other communications to the unit. Coordinate and oversee operational aspects of staff onboarding and offboarding, partnering with unit teams and other stakeholders to ensure timely and customer excellence. Build productive working relationships with a wide range of customers and stakeholders while maintaining a high standard of service. Respond effectively to periods of increased volume, competing priorities, and rapidly changing customer needs.* **Academic Graduate Student Employment**: Provide guidance to campus stakeholders regarding Academic Graduate Student employment policies, requirements, and processes. Coordinate and lead the review and submission of exception requests, ensuring appropriate documentation, approvals, and follow-through. Serve as a liaison with Graduate Studies, Student Employment HR Consultant, Enterprise Technology, and other campus partners as appropriate. Research and resolve complex or unusual employment situations by consulting applicable policies and subject-matter experts. Monitor changes to graduate student employment processes and communicate relevant updates to campus stakeholders. Participate in committees, working groups, meetings, and initiatives related to graduate student employment as necessary.* **HR Programs, Information, and Process Improvement**: Support the implementation and administration of HR programs, policies, procedures, and initiatives across the unit. Collaborate with the HR Assistant Director, unit staff, and partners to implement HR initiatives and operational priorities. Maintain internal information systems, websites, process documentation, forms, guides, and other resources to ensure information remains accurate and current. Monitor workload, service requests, and operational processes to identify trends, bottlenecks, recurring issues, and opportunities for improvement. Recommend practical, solution-oriented improvements that increase efficiency, accuracy, consistency, and customer service. Assist with the development and implementation of new forms, processes, systems, and system upgrades. Support change management activities by helping stakeholders understand and adapt to new processes, policies, systems, and organizational requirements. Proactively identify potential operational impacts associated with organizational or process changes and communicate concerns to HR leadership.* **Compliance, Records Management, Training and Team Support**: Perform HR activities in accordance with applicable federal and state laws, university policies, procedures, and established HR practices. Conduct periodic reviews and reports to monitor compliance and identify areas requiring follow-up or corrective action. Maintain departmental HR records in accordance with University of Texas Records and Information Management guidelines, applicable retention schedules, and confidentiality requirements. Participate in training sessions, workshops, meetings, and professional development opportunities to remain current on HR policies, systems, procedures, and regulatory requirements. Maintain knowledge of changing HR practices, systems, policies, and university processes and communicate relevant updates to team members and stakeholders. Cross-train with other HR team members and provide backup coverage to promote continuity of operations. Provide additional operational support during peak volume periods, staff absences, organizational transitions, and other periods of increased demand. Collaborate with central Human Resources Business Partners, Payroll Services, Enterprise Technology, Academic Personnel Services, Graduate Studies, Student Employment, and other university offices as needed. Contribute to a collaborative team environment by sharing information, knowledge, resources, and solutions.* **Analysis, Reporting, & Special Projects**: Assist both the HR Director and HR Assistant Director with routine, periodic, and ad hoc reporting related to HR operations. Support position and classification analysis, compensation data review, workforce information, and other HR-related analyses. Compile, organize, validate, and interpret data to support operational decision-making and identify trends or areas for improvement. Develop and maintain spreadsheets, tracking tools, and other resources used to monitor HR activities and workload.
