Executive Personal Assistant & Estate Manager

Priority VA | Posted Mar 13 Full-time California Negotiable Entry (0-2 yrs) Our client is seeking an Executive Personal Assistant and Estate Manager to support a visible, yet private principal. This role requires discretion, judgement and the ability to manage a fast paced schedule across multiple residences while coordinating closely with household staff and external partners. This is a combined role that sits at the intersection of executive assistance, personal support, and estate management. It demands full integration of the three. The Role: Executive and Personal Assistance: Manage all calendar appointments, travel arrangements, and reservations with meticulous attention to detail Coordinate with business team members, external partners, and senior contacts Support project management for ongoing initiatives and ensure critical deadlines are never missed Serve as a trusted gatekeeper — protecting time and energy with intelligence and tact Oversee personal correspondence, gift purchasing, event planning, and family calendar management Manage pet care logistics as applicable Handle all personal errands and delegate appropriately to supporting staff or house runners Provide support for personal events, dinners, and gatherings from concept through execution Oversee all aspects of day-to-day estate operations, including staff, vendors, and contractors Manage household systems: maintenance schedules, security protocols, home automation, and preventative care Oversee grocery, supply, and specialty item procurement — with deep attention to preferences and standards Coordinate and supervise home renovation or improvement projects for multiple properties, as needed Essential Details of the Role and Experience Needed: Minimum 7 years of direct, sustained experience supporting a principal with a public facing career (entertainment, media, sports, luxury or similar), in a combined household and executive capacity This is a fully on-site, in-person role. Documented history of a 24/7 or after-hours availability roles with changing priorities. You must be available 24/7 and genuinely comfortable with that reality- not in theory, but in practice Comfort working around security teams and strict confidentiality protocols Travel is required, both domestic and international- estimated at 25% You are comfortable working across all holidays and weekends when the schedule requires it Valid driver's license and passport required Proficient in Microsoft Office Suite Proficient inproject management and communication platforms (Slack, Asana, or equivalent) Proficient with AI systems for organization system building and maintenance Comfortable with smart-home systems, home automation, and AV troubleshooting Salary Range - DOE PTO Discretionary Performance Bonuses Location Specifics: Candidates must live in or near Santa Barbara, CA. #J-18808-Ljbffr
