Assistant Property Manager
Position Summary
The Assistant Property Manager supports the day-to-day management and operation of residential and commercial properties to ensure efficient property performance, tenant satisfaction, and financial success. This role assists with property operations, lease administration, rent collection, budget management, vendor coordination, maintenance oversight, and compliance activities. The ideal candidate is detail-oriented, organized, financially minded, and eager to grow within the property management industry.
Key Responsibilities
Property Operations & Tenant Relations
Assist in managing the daily operations, maintenance, administration, and improvement of assigned residential and/or commercial properties.
Respond to tenant inquiries and complaints in a professional and timely manner.
Enforce property rules, regulations, and lease terms to maintain a safe and positive environment.
Conduct property inspections, including vacant units and common areas, to identify maintenance needs and ensure property standards are met.
Coordinate and follow up on maintenance requests and repairs.
Financial Management
Support the preparation and management of property budgets.
Assist with rent collection, accounts receivable, and delinquency management.
Process invoices, monitor expenses, and ensure expenditures remain within budget.
Participate in forecasting, annual budget preparation, variance analysis, and corrective action planning.
Prepare financial reports and assist with month-end closing activities.
Perform account reconciliations and maintain accurate financial records.
Leasing & Administration
Assist with marketing available space and coordinating leasing activities.
Prepare lease agreements, amendments, renewals, and related documentation.
Support lease administration and ensure tenant files are complete and accurate.
Maintain property records, reports, contracts, and correspondence.
Property Maintenance & Vendor Management
Coordinate with vendors, contractors, and maintenance providers to ensure timely completion of services.
Monitor building systems and oversee routine and emergency repairs.
Assist in obtaining vendor bids and managing service contracts.
Ensure preventive maintenance schedules are followed.
Compliance & Risk Management
Ensure compliance with federal, state, and local regulations related to property management.
Support implementation and enforcement of company policies and procedures.
Assist with property security measures and emergency response procedures.
Maintain accurate records related to compliance, inspections, and safety requirements.
Qualifications
Required Experience
0-2 years of experience in property management, real estate, accounting, finance, or a related field.
Internship or administrative experience within real estate/property management is a plus.
Education
- Bachelor's degree in Business Administration, Real Estate, Finance, Accounting, or a related field preferred.
