Sales Support Coordinator

Job Description


Position Summary: The Sales Support Coordinator is responsible for supporting the sales order administration process, providing exceptional customer support, and generating key performance reports. This role acts as a vital bridge between sales, customers, and internal teams to ensure all orders are processed accurately and efficiently, directly contributing to business growth and high customer satisfaction.

Essential Duties and Responsibilities: Include the following, as well as other duties that may be assigned.

• Enter and manage customer quotes, sales orders, special order requests (including OPC orders), and purchase orders.
• Create and update item codes, customer files, and internal tracking records across company systems.
• Monitor open orders using Order Desk and SYSPRO to ensure on-time delivery; handle cancellations and revisions.
• Organize factory drop shipments and pass along required processing details.
• Answer customer inquiries regarding order status, shipping, tracking, pricing, and product details.
• Troubleshoot and fix discrepancies involving pricing, quantities, and shipping.
• Generate Return Material Authorizations (RMAs) and follow up to ensure swift resolution.
• Supply customers with requested material certifications, technical data sheets, samples, and marketing materials.
• Support the Business Manager and sales team with reporting, analytics, and special administrative projects.
• Source materials, verify product availability, and assist with product inquiries.
• Work directly with internal fabrication departments to gather labor cost estimates.
• Process credit card payments and collaborate with Accounts Receivable to resolve credit holds and release orders.
• Work closely with sales, operations, accounting, fabrication, and customer service teams to maintain smooth operations.

Knowledge, Skills, and Abilities:

• Knowledge of Order Desk and SYSPRO.
• Proficiency in Microsoft Office Suite (Word, Outlook, Excel).
• Proficiency in standard office and database programs/equipment.
• Strong written and verbal communication skills.
• Ability to research data, resolve accounting discrepancies, and manage product return logs independently.

Education and Experience:

• High School Diploma or equivalent
• 1 - 3 years' experience in a sales support role or equivalent
