We are a boutique commercial mortgage brokerage seeking a detail-oriented and reliable Commercial Loan Coordinator / Office Administrator to support our day-to-day operations.

This role combines front office responsibilities with loan file coordination, including working with borrowers, lenders, title companies, and insurance agents to move files efficiently toward closing. Our firm also originates and funds private bridge loans, and this role will assist with coordinating loan documents and payoff requests as needed.

The ideal candidate is highly organized, proactive, and able to manage multiple responsibilities without constant supervision.

Key Responsibilities:

• Greet clients and visitors in a professional and welcoming manner
• Collect and organize borrower documentation, including LLC and entity documents
• Order and follow up on title insurance with attorneys and title companies
• Order and track property insurance binders
• Communicate with borrowers to obtain required documents
• Submit documentation to lenders and follow up on outstanding conditions
• Maintain organized and up-to-date loan files
• Provide regular updates on file status
• Ensure all files are complete and ready for closing
• Coordinate ordering of loan documents for private and bridge loans
• Request and track payoff statements when needed
• Assist with closing coordination for funded deals

Requirements:

• Prior experience in mortgage processing, loan coordination, real estate, or similar administrative role
• Strong organizational and follow-up skills
• Ability to manage multiple files and deadlines
• Professional communication skills (phone, email, and in-person)
• Detail-oriented and dependable
• Comfortable working independently

Preferred Qualifications:

• Experience with commercial or investment real estate loans
• Familiarity with LLCs and borrower documentation
• Experience with private lending or bridge loan transactions
• Experience working with mortgage brokers or private lenders

Compensation:

• $23 to $25 per hour based on experience
• Additional per closed file bonus of $100

Schedule:

• 25 to 30 hours per week
• Consistent weekday schedule required (hours to be discussed)
• Must be available during standard business hours
