Job Description:

Well-established Tampa law firm is seeking a Legal Assistant with at least 3 years of experience, ideally within litigation or insurance defense. This role requires a highly organized and proactive professional who can support attorneys across all phases of case management while maintaining strict attention to deadlines, accuracy, and client communication.

Key Responsibilities

• Schedule depositions, hearings, mediations, and other litigation events
• Maintain familiarity with assigned cases, including parties, facts, and deadlines
• Manage calendaring and ensure compliance with court deadlines and procedures
• E-file documents in state and federal courts
• Proofread legal documents and correspondence for accuracy and consistency
• Organize and maintain case files (electronic and physical)
• Process incoming mail, including proper naming, saving, and calendaring
• Coordinate communication with clients, adjusters, and court personnel
• Ensure compliance with client billing guidelines and reporting requirements
• Process invoices and track case-related expenses
• Stay current with judge-specific and county-specific procedures

Qualifications

• Minimum 3+ years of legal assistant experience (litigation preferred)
• Experience with insurance defense strongly preferred
• Knowledge of Florida court procedures and e-filing systems
• Familiarity with client billing guidelines and reporting requirements
• Strong organizational, communication, and multitasking skills
• High attention to detail with strong proofreading abilities
• Ability to handle confidential information with professionalism
• Proficiency with legal and office software
