Patent Client Services Administrator

Job Summary The Patent Client Services Administrator will be responsible for managing portfolios for the firm’s patent group clients. The role ensures quality service, maintains harmonious relationships with lawyers, management, supervisors, co‑workers, and clients, and guarantees efficient workflows ahead of all deadlines. The position can be based in any U.S. office and offers a hybrid work arrangement, with in‑office frequency guided by business needs. Responsibilities Accurately record billable and non‑billable time; submit Intapp files promptly; and meet applicable billable and non‑billable hour requirements. Maintain up‑to‑date knowledge of patent rules and regulations and follow all Fenwick IP workflow processes to ensure timely, accurate deliverables. Draft, prepare, and proofread written correspondence—emails, memoranda, and other documentation—to internal personnel, clients, and assignees. Assist with drafting and e‑filing of legal documents in the U.S. Patent & Trademark Office (PTO) related to patent prosecution, including office‑action amendments, responses, requests for continued examination, continuations, divisional applications, information‑disclosure statements, supplemental application data sheets, sequence listings, extensions of time, terminal‑disclaimers, petitions, notices of appeal, appeal briefs, corrected drawings, assignment recordations, post‑grant proceedings, and other required documents. Format utility and provisional specifications for PTO filing and maintain structural and formatting requirements per the MPEP. Serve as an expert for client filing and reporting needs using various extranets and secure data sites. Review and maintain docket calendars for assigned clients, independently calculate docket dates for a second review, and coordinate with docketing personnel to ensure accuracy and compliance with due dates. Prepare agendas for client meetings. Maintain file integrity for both electronic and paper files. Serve as a back‑up to team members as required. Remain flexible and dependable, willing to work overtime as needed, and perform additional duties as assigned. Desired Skills and Qualifications Proficiency with PTO platforms: Patent Center, WIPO, and PTO Financial Manager. Comprehensive knowledge of U.S. patents. Experience preparing complex IDSs and staying abreast of related rules and processes, including correct citing of references. Strong knowledge of IP docketing systems. Ability to multitask in a highly demanding, deadline‑driven environment. High attention to detail. Proactive initiative and capability to work independently or in a team. Proofreading skills for grammatical, typographical, and spelling errors. Typing skills for standard correspondence, memoranda, and similar materials, from written material or dictation. Exemplary client‑service skills and ability to interact with various departments, executive personnel, vendors, and contractors. Excellent written, verbal, and organizational skills. Discretion in handling confidential and sensitive information. Promotion of effective work practices, teamwork, and respect for all firm personnel. Proficiency in MS Office applications. Curiosity about new tools, willingness to experiment, and openness to evolving practices through AI and innovation. Experience Reporting to the Patent Client Services Manager, the candidate should have a minimum of six years of relevant work experience in a patent prosecution practice, with law‑firm experience strongly preferred. Benefits and Compensation Anticipated range for this position is $94,000—$141,250, depending on qualifications, experience, education, certifications, and location. A discretionary bonus may also be available for eligible employees based on performance.
