About MASI Sports Academy MASI Sports Academy builds youth leadership and sports performance programs across Prince George’s, Montgomery, and Baltimore counties. We currently operate active Community Schools contracts across 8+ school sites, delivering structured athletics and leadership programming built on our Coach Guide curriculum. About This Role: We’re hiring a Program Manager to own day-to-day operations across an assigned cluster of program sites (2–6 sites, depending on county assignment) — so our founder can focus on contract growth and strategic planning instead of daily logistics. This is a highly autonomous role for someone who wants real ownership, not a task‑list position. You will be the person who knows, at any given moment, whether every site in your cluster is staffed, every coach is cleared, and every program is running as designed — and who solves problems before they ever need to reach the owner. Hours: 12–15 hours/week to start, flexible schedule with core availability required during active program days (Tuesdays, Wednesdays, Thursdays); potential to grow as program sites and staffing needs expand. Key Responsibilities: Site & Staffing Oversight: Monitor daily operations across your assigned cluster of 2–6 program sites, ensuring each is staffed at the required 1:15 coach-to-student ratio with a minimum of 2 coaches present per session. Serve as the primary point of contact for Lead Coaches at each site; run and facilitate the weekly Leadership Meeting. Identify and resolve staffing gaps proactively — before a session is understaffed, not after. Coach Recruiting & Compliance: Own and maintain the Coach Tracker: manage the recruiting pipeline, track background check status by county, and flag upcoming clearance expirations before they lapse. Coordinate onboarding for new coaches, including scheduling background checks and confirming training completion before anyone works with students. Support recruiting pushes ahead of each new season, working from established job postings and interview guides. Program Quality & Coaching Oversight: Conduct an unannounced site observation at each assigned site at least once every 4 weeks, scoring the session against our standard Session Quality Rubric to ensure curriculum fidelity. Deliver clear, direct feedback to Lead Coaches within 48 hours of every observation, and track performance over time. Distribute our post-block Parent Pulse Survey, compile results, and follow up on any concerns within 48 hours. Scheduling & Logistics: Coordinate session scheduling across all sites to avoid conflicts and ensure adequate coverage, particularly on days with multiple concurrent programs. Manage equipment and uniform logistics for each contract (ordering, distribution, inventory tracking). Coordinate field trips and special events (Showcase Days, End‑of‑Season Celebrations) — booking, permissions, and logistics confirmed well before each event. Communication & Reporting: Serve as the day-to‑day point of contact for school facilitators on logistics and scheduling (contract negotiation and renewals remain with the owner). Provide a concise weekly report to the owner summarizing site status, flagging only genuine exceptions rather than routine updates. Administrative Support: Maintain accurate records in the Sales Tracker and Coach Tracker systems. Support new contract onboarding — coordinating staffing and logistics once a new site is signed. Maintain incident logs and safety documentation for all sites; report any incident within 24 hours. What Success Looks Like: Every site fully staffed and compliant without the owner needing to intervene. Lead Coaches supported and equipped to run their sites independently. Problems caught and solved at the Program Manager level, with the owner’s time reserved for contract growth, not operations. Requirements: 2+ years of experience in program management, operations, or staff supervision — youth sports, education, or camp/after‑school program experience strongly preferred. Demonstrated ability to manage multiple sites, schedules, or projects simultaneously without losing track of details. Comfortable using spreadsheets and tracking systems for staffing, scheduling, and compliance management. Strong written and verbal communication — this role interfaces with coaches, school facilitators, and the owner regularly. Reliable transportation and willingness to travel regularly between program sites across Baltimore county. Must pass background check/clearance requirements for all counties served. CPR/First Aid certification and School Safe Training, or willingness to obtain both within 30 days of hire. Youth sports or athletics background is a plus but not required — our curriculum is fully scripted, so this role is primarily about operational leadership, not coaching expertise. Preferred: (Not Required) Prior experience managing part‑time or seasonal staff teams. Familiarity with school district vendor/facilitator relationships.
