About the job

The Customer Service/Marketing Specialist supports customer orders, account setup, sales

representatives, shipping, and manufacturing to keep daily operations running smoothly and

efficiently.

We're looking for someone who

● Has previous office management, receptionist, or relevant administrative experience

● Has at least a high school diploma or equivalent

● Is proficient in Microsoft Excel, Word, PowerPoint, and email

● Communicates clearly and professionally, both verbally and in writing

● Maintains a positive attitude, strong work ethic, and service-oriented mindset

● Is highly organized, detail-oriented, and self-motivated

● Demonstrates excellent time management, multitasking, and prioritization skills

● Can work efficiently under pressure in a fast-paced, open-office environment

● Builds positive working relationships and collaborates effectively across teams

● Prioritizes customer needs and responds to requests with a strong sense of urgency

● Can lift up to 50 lbs

What you'll do

● Prepare customer quotes in collaboration with sales representatives and communicate

pricing to hospital procurement teams and staff as needed

● Prepare customer quotes in collaboration with 1099 independent sales representatives

● Process hospital purchase orders into sales orders, verifying pricing and quantities

● Monitor customer emails and phone calls, resolve order discrepancies, and communicate

corrections promptly

● Assign sales partners to customer accounts and process requests within 24 hours or

sooner for urgent needs

● Register new accounts in NetSuite and assign customer numbers

● Coordinate and ship new account startup supplies from designated facilities and vendors

● Track shipments, prioritize urgent orders, and keep sales representatives informed of

delivery progress

● Organize and ship sales collateral, demonstration models, and support equipment as

needed

● Maintain sales collateral inventory and coordinate with vendors to replenish supplies.

● Partner with sales representatives to troubleshoot account concerns involving shipping

delays, billing, and return merchandise authorizations (RMAs)

● Coordinate RMAs with field sales, Quality, and Research & Development teams for order

errors, product complaints, and occasional product exchanges

● Monitor component and finished assembly inventory and alert the appropriate sales team

to potential backorders

Physical requirements

● Must be able to lift and carry up to 50 lbs

● Must be comfortable working in a fast-paced office environment while managing multiple

tasks and priorities
