Audio Visual & Events Specialist

Position Summary

The Audio Visual & Events Technology Specialist reports directly to the Chief Information Officer and is responsible for the planning, operation, maintenance, support, and continuous improvement of the College's classroom, instructional, and conference room environments, as well as leading all event management duties.

This position provides primary technical support for all audiovisual systems across campus and is the primary coordinator of all college and community events. The position requires a flexible work schedule to support evening and weekend events as needed.

The Audio Visual & Events Specialist serves as the primary owner of the campus AV technology experience, ensuring that classrooms, meeting spaces, and event venues are reliable, functional, and equipped to support teaching, learning, collaboration, and community engagement. The position partners closely with the IT Help Desk, Infrastructure Team, Facilities, Security, and other campus departments to deliver high-quality services while maintaining responsibility for the operation, support, planning, and continuous improvement of classroom technology and events.

Essential Responsibilities

Classroom Technology

• Maintain, configure, troubleshoot, repair, and support classroom technology throughout the campus.
• Support and maintain ceiling-mounted projectors, Promethean interactive flat panels, document cameras, projection screens, classroom audio systems, wireless presentation systems, microphones, amplifiers, and digital signal processors (DSPs).
• Support, maintain, and troubleshoot Extron, Crestron, and other classroom control systems.
• Perform firmware and software updates on classroom technology systems.
• Perform preventive maintenance to maximize system reliability.
• Coordinate warranty repairs and vendor service.
• Develop and execute lifecycle replacement recommendations for classroom technology.
• Assist with classroom technology upgrades, renovations, and new installations.
• Maintain accurate documentation and inventories of classroom technology assets.
• Work with equipment manufacturers, service providers, and technology vendors to coordinate repairs, evaluate solutions, develop technical specifications, and obtain quotations for new equipment purchases and replacement projects.

Audio Visual Systems

• Install, configure, maintain, and troubleshoot campus audiovisual systems.
• Configure and support microphones, mixers, amplifiers, and digital signal processing equipment.
• Configure and maintain wired and wireless microphone systems.
• Diagnose and resolve audio and video system issues.
• Coordinate with vendors and system integrators during installations, upgrades, and repairs.

Event Management

• Coordinate campus support for:
• College ceremonies
• Commencement
• Board of Trustees meetings
• Admissions events
• Faculty and staff meetings
• Community events
• Theater productions and performances
• External facility rentals

Responsibilities include:

• Meeting with event organizers
• Determining event technology requirements
• Coordinating campus resources
• Scheduling space, equipment, and support
• Configuring audiovisual systems
• Operating sound systems and audio mixers
• Supporting presentation technologies
• Providing on-site technical support
• Equipment setup and teardown

Event Coordination

• Serve as the primary event coordinator for campus event requests.
• Consult with event organizers regarding technology needs.
• Coordinate campus support for campus and community events.
• Work collaboratively with Facilities, Public Safety, and other departments.
• Manage event technology schedules and equipment assignments.
• Ensure successful technology support throughout the event lifecycle.

Customer Support

• Provide exceptional customer service to faculty, staff, students, and community users.
• Respond to IT Help Desk requests related to classroom technology and events.
• Develop quick-reference guides and instructional documentation.
• Provide one-on-one and group training for faculty and staff on classroom technology operation.
• Recommend improvements that enhance the campus technology and events experiences.

Project Support

• Assist with classroom technology refresh projects.
• Assist with conference room technology upgrades.
• Support campus-wide audiovisual initiatives.
• Support technology standardization.
• Assist with budget planning and purchasing recommendations.
• Evaluate emerging classroom technologies.

Other Responsibilities

• Maintain inventory of AV equipment and related supplies.
• Maintain documentation of audiovisual systems.
• Develop and recommend campus standards for classroom technology.
• Assist with annual budgeting and long-term technology replacement planning.
• Participate in emergency response for technology outages.
• Perform other duties as assigned.

Minimum Qualifications

• Associate's degree in information technology, Audio Visual Technology, Electronics, Media Technology, or a related field (Bachelor's degree preferred).
• One (1) year of experience supporting professional audiovisual systems, or an equivalent combination of education and experience.
• Experience troubleshooting classroom technology.
• Experience supporting Extron, Crestron, or comparable AV control systems.
• Experience operating professional sound systems.
• Experience configuring wired and wireless microphone systems.
• Strong customer service and communication skills.
• Ability to work evenings and weekends as required.

Preferred Qualifications

• Experience in higher education.
• Extron or Crestron training or certification.
• Experience supporting live event production and audiovisual systems.
• Experience planning and coordinating meetings and events.

Salary & Benefits

• SUNY Buffalo State/ITEC employee who will be a part of the UUP Contract and Salary structure.
• Position will be located at CGCC full time, on-site.
• Salary: $85,000
