Project Specialist - Technology for Impact

IEEE is an EEO/AAP Employer/Protected Veterans/Disabled We require all applications online; if you require assistance contact .View email address on click.appcast.io Project Specialist – Technology for Impact The Project Specialist, Technology for Impact, supports the execution, coordination, and operationalization of new and emerging initiatives across IEEE's Humanitarian Technologies and Climate Tech portfolios. The role translates leadership direction into structured processes, workflows, and systems that enable successful implementation and scaling of initiatives. Working under the Director, the Specialist ensures initiatives are operationally sound, well‑coordinated, and executed with discipline and consistency. Responsibilities include building and maintaining execution frameworks, tracking progress, coordinating stakeholders, and supporting reporting and visibility efforts. The Specialist operates in a fast‑paced, cross‑functional environment and requires strong organizational skills, attention to detail, and the ability to manage multiple priorities. Key Responsibilities Support the execution of new and strategic initiatives and special projects as defined by the Director. Translate leadership direction into structured workplans, timelines, deliverables, and execution trackers. Build and maintain workflows, systems, and documentation that support implementation and scaling of new initiatives. Support the transition of pilot efforts, ad hoc initiatives, and new programs into structured and repeatable operational processes. Track initiative progress, milestones, and deliverables, ensuring timelines are met and outputs are clearly documented. Identify execution risks, gaps, or dependencies, and proactively raise them to the Director. Coordinate across teams, programs, and stakeholders to ensure alignment and smooth execution of new initiatives. Support the collection, organization, and consolidation of data and inputs related to initiative progress and outcomes. Prepare draft summaries, trackers, dashboards, and reports to support leadership updates, board materials, and impact storytelling as directed by the Director. Support the development and maintenance of operational documentation, templates, and processes to improve efficiency and scalability across the portfolio. Coordinate inputs for presentations, reports, and materials that communicate progress and impact of new initiatives. Assist in coordinating meetings, including preparing agendas, tracking action items, and ensuring follow‑up on deliverables. Respond to inquiries from internal teams and stakeholders with the support and guidance of leadership. Manage multiple priorities and deadlines across initiatives, ensuring high‑quality and timely execution. Perform additional duties as assigned to support the successful delivery and growth of the portfolio of programs of both departments. Travel Information 20% domestic and international, including nights and weekends. Qualifications Education Bachelor's degree or equivalent experience, preferably in Public Administration, Business, Marketing, or International Relations. Work Experience 4–7 years of experience in humanitarian programs or non‑profit organizations. At least 4 years of demonstrated experience in high‑level stakeholder management with senior volunteers or senior management. Skills and Requirements Project & operational support: Ability to support project implementation and day‑to‑day operations by tracking tasks, maintaining accurate information, and assisting with documentation needed for short‑ and long‑term planning. Demonstrated capacity to manage multiple tasks and priorities, work both independently and collaboratively, and follow established processes with limited supervision. Communication & interpersonal skills: Exceptional written and verbal communication; skilled in developing and delivering presentations (in‑person/virtual). Strong self‑awareness, empathy, and tact for engaging high‑level volunteers/board members in sensitive contexts while maintaining trust. Stakeholder management: Proven ability to manage and collaborate effectively with diverse stakeholders, including volunteers and partner organizations, to achieve shared goals. Digital & technical support: Proven experience supporting basic digital communications and content creation, including newsletters, websites, and social media posts, using tools such as Canva, Google Slides, Loomly, and Microsoft Office. Able to follow established templates and processes, learn new digital systems quickly, and support routine updates, tracking, and posting across digital platforms; experience with SmartSheets is a plus. Leadership & work ethic: Strong problem‑solving and decision‑making abilities, excellent time management, and the ability to work independently or in a team with minimal supervision. Able to travel (10–15%). Mission alignment: Passion for humanitarian technology and mission‑driven work. Demonstrated cultural sensitivity and embraces diversity. Experience with non‑profit or volunteer‑led organizations preferred. Other Requirements As defined in IEEE Policies, individuals currently serving on an IEEE board or committee are not eligible to apply.
