Reports To: Vice President of Operations (VPO)

Job Purpose

The Director of Commercial Real Estate Operations is responsible for all day-to-day operations needed to meet the expectations of commercial tenants. This position also focuses on building strong business relationships to help grow the company's presence in the commercial real estate market working closely with the VPO and the Owner to meet company standards and support recommendations for acquisitions and new development.

Compensation

$110,000 – $130,000 (Depending on experience)

Key Responsibilities:

New Development

• Collaborate with the VPO on municipal approvals and entitlements
• Collaborate with the VPO on identifying and assessing commercial property acquisitions
• General research and identification of development opportunities (land acquisitions, RFPs, etc.)
• Coordinate with brokerage firms to attract and land commercial tenants for new developments
• Collaborate with VPO and brokerage firms to facilitate lease negotiations with commercial tenants
• Coordinate tenant buildouts for commercial spaces

Operations (Day-to-Day Oversight)

• Oversee general day-to-day operations of all commercial properties
• Work with internal and external resources to ensure owner directives are followed and meet standards set by the VPO
• Attend weekly Gebhardt Development meeting
• Attend weekly Gebhardt Development/MPM meeting
• Enforce city ordinances, laws, regulations, and guidelines as directed by company policy
• Provide VPO, owner, and Professional Assistant with daily notes and updates
• In collaboration with the Maintenance Director:
• Oversee bidding for capital improvement projects
• Maintain asset improvement project list as outlined in SOPs
• Review and monitor service agreements and capital improvement contracts
• Review and approve receipts and invoices

Commercial Leasing & Tenant Relations

• First point of contact for commercial tenant relations
• Collaborate with VPO to negotiate commercial tenant leases
• Shop the Comp to provide VPO with current market conditions to facilitate lease negotiations and renewals
• Review all leases and amendments to ensure financial and legal needs are met
• Work with company attorneys to draft and execute leases and amendments
• Schedule quarterly meetings with each commercial tenant to follow up on concerns and gather feedback
• Act as first responder to tenant concerns and maintain a pipeline for tenant decision makers
• Develop relationships in the commercial real estate community to procure market information
• Maintain lease abstracts including key dates and qualifiers (commencement, base rent, escalators, termination options, etc.)

Financials (CAM)

• Review and approve all CAM-related charges for commercial properties
• Close involvement required for CAM associated with Galaxie and Constellation buildings (in conjunction with MPM)
• Oversight/reconciliation of CAM invoices for:
• Gebhardt Building
• Galaxie (in conjunction with MPM)
• Constellation (in conjunction with MPM)
• 637 East Washington Ave
• 744 Williamson St
• 210 Olin Ave
• 122 Olin Ave
• CPM Commercial Properties
• Work with accounting to ensure invoices/documentation are provided timely
• Provide quarterly reports to Owners and Development team on income & expense for commercial properties

Galaxie Master Condo Association

• Represent membership in the Galaxie Master Condo Association
• Attend all master condo association meetings
• Work with board members to execute master condo directives
• Vote on behalf of the company in consultation with VPO
• Facilitate positive relationships with MCA board members
• Generate annual MCA report and present to owner and development team
• Track and document MCA directives and submit to VPO for review

Oversight (Facilities, Vendors, Special Projects)

• Responsible for tenant experience and general conditions at all commercial properties
• Work with Maintenance Director to ensure ownership standards are implemented
• Weekly meeting with Maintenance Director
• Work with Maintenance Director to maintain properties in accordance with SOPs and Owner expectations
• Actively manage capital improvement projects
• Support Maintenance Director in overseeing vendors:
• Understand and review contracts
• Monitor completion prior to final payment
• Aid in supervising the Special Projects Team and provide training and oversight as needed

Security

• Responsible for building security standards
• Work with SPS, MPM, and internal resources to ensure standards are executed to company expectations
• Retain relationships with outside vendors; evaluate potential security enhancements
• Hold security vendors accountable to contractual obligations
• Engage commercial tenants regarding security concerns and provide feedback to VPO and owner

Staffing & Supervision

• Coordinate work schedules for adequate office coverage
• Must be on-site and available during business hours
• Train, develop, supervise, evaluate, and build strong team dynamics
• Oversee employees at commercial property locations
• Collaborate with Maintenance Director to assign work to maintenance staff, painters, and landscapers
• Inspect buildings/grounds and follow up on items needing attention
• Conduct daily morning meetings to set priorities and direct onsite staff
• Review requests for Comp/PTO
• Monitor employee payroll hours to avoid unapproved overtime
• Collaborate with HR Director to enforce company policy and complete disciplinary documentation (verbal warnings, written warnings, terminations)
