Part Time Accounting and HR Administrator (Dayton)

ABOUT THE ROLE  

CAL Analytics is seeking a part-time Accounting & HR Administrator to support the company’s day-to-day accounting, payroll, human resources, and administrative functions. This role is ideal for someone who is organized, detail-oriented, and comfortable working across multiple areas of a small business while coordinating with company leadership and outside accounting and benefits partners.  

KEY RESPONSIBILITIES  

• Manage routine accounts payable and accounts receivable activities, including vendor invoices, customer invoices, and payment tracking.  
• Enter and maintain financial transactions in QuickBooks, including company credit card charges and banking activity.  
• Reconcile checking, savings, and credit card accounts and maintain accurate supporting documentation.  
• Create and maintain customer invoices and project-related financial information in Harvest and supporting spreadsheets as needed.  
• Prepare reports and financial documentation for CAL Analytics’ outside accounting firm and assist with quarterly-end information requests.  
• Support payroll processing through Paychex, including employee changes, prorated payroll adjustments, and payroll-related reporting.  
• Maintain confidential employee personnel records and support new-hire onboarding and employee documentation.  
• Assist with benefits administration, including health insurance renewals, enrollment information, and coordination with outside providers.  
• Maintain required employee training and administrative records and help keep internal procedures and documentation current.  
• Assist with recurring administrative needs.  

QUALIFICATIONS  

• Previous experience in bookkeeping, accounting administration, payroll, HR administration, or a similar small-business operations role.  
• Experience with QuickBooks strongly preferred.  
• Experience with Paychex or another payroll platform preferred.  
• Familiarity with Harvest or similar timekeeping, invoicing, or project-management software is helpful.  
• Comfortable working with banking transactions, reconciliations, invoices, financial reports, and employee records.  
• Strong attention to detail, organization, follow-through, and discretion with confidential financial and employee information.  
• Ability to work independently while coordinating effectively with leadership and outside accounting, payroll, and benefits partners.  

SCHEDULE & EMPLOYMENT  

This is a W-2, part-time position with an anticipated workload of approximately 20 hours per week. The schedule will be structured around CAL Analytics’ payroll, accounting, and administrative needs. Compensation is hourly and based on experience.
